We are looking for an Operations Manager / Chief of Staff to join a remote e-commerce agency that manages Amazon and TikTok Shop accounts for multiple international clients. The team is fully remote and distributed across several countries, working closely together to support growing e-commerce brands.
This role will work directly with the founder and play a key role in improving internal operations, building scalable processes, and ensuring smooth collaboration across departments. The ideal candidate will proactively identify operational inefficiencies, improve workflows, and help scale the company as it grows.
This is a full-time remote position (40 hours per week) with a strong focus on operational ownership, process improvement, and cross-team coordination.
Your Duties:
As an Operations Manager you will be responsible for:
- Identify operational bottlenecks and inefficiencies across the company and propose improvements
- Build, document, and optimize SOPs, workflows, and internal processes
- Manage and improve internal project and workflow systems (ClickUp)
- Track key operational metrics including client profitability and team utilization
- Flag potential operational issues before they escalate
- Support the founder in running weekly team meetings and tracking execution
- Coordinate communication and work between departments (Amazon Operations, PPC, Content/Design, Project Management)
- Help design and improve hiring and onboarding processes for new team members
- Ensure operational alignment across teams working remotely in different time zones
- Contribute ideas and improvements to help scale the business efficiently
Requirements
- 3–5+ years of experience in operations, project management, or service/agency environments
- Strong analytical and problem-solving skills
- Ability to identify patterns, inefficiencies, and operational risks
- Proactive mindset with the confidence to challenge existing processes
- Experience working with remote and distributed teams
- Comfortable using collaboration and productivity tools such as ClickUp, Slack, and Google Workspace
- Ability to manage multiple workflows and cross-team coordination
- Excellent English communication skills (written and spoken)
Nice to have:
- Experience in e-commerce, Amazon operations, or digital agencie
- Familiarity with AI tools such as ChatGPT or Claude
- German language skills
