About the Role
We’re seeking a Creative Project Coordinator who will be responsible for managing the full lifecycle of creative projects, ensuring they are delivered on time, within scope, and on budget. The role requires a highly organized individual with strong project management skills, capable of coordinating internal teams and managing client expectations while maintaining high-quality standards. The Project Coordinator will work with designers, strategists, and external partners to foster collaboration and drive creative innovation in the advertising industry.
What you’ll do
Project Management:
Oversee the entire lifecycle of creative projects, ensuring timely, on-budget, and quality delivery.
Coordinate internal resources and external vendors to ensure smooth project execution.
Act as the primary point of contact for project updates, providing regular status reports to internal teams and stakeholders.
Maintain clear communication and documentation to ensure all project stakeholders are aligned on goals, timelines, and responsibilities.
Identify and address potential risks, recommending proactive solutions to keep projects on track.
Meeting Coordination & Communication:
Lead and facilitate project meetings, including requirement gathering, prioritization sessions, and status meetings.
Ensure meetings are outcome-driven, with clear action items and follow-ups.
Collaborate with project management leadership to communicate project completion and launch details across the organization.
Resource Allocation & Process Adherence:
Ensure proper resource allocation across all project stages to avoid delays.
Ensure adherence to project timelines and processes, while continuously seeking ways to improve workflows.
Maintain comprehensive project documentation, including timelines, meeting notes, and client feedback.
Collaboration & Innovation:
Partner with internal teams (Account, Sales, Ad Ops, Product) to align project deliverables with client expectations.
Work closely with designers and strategists to develop creative solutions that engage consumers and drive brand attention.
Assist with data entry and project tracking for reporting purposes.
Requirements
What You Bring
3+ years of project management experience, ideally in a creative or advertising environment.
Proficiency with project management tools (e.g., Asana, Trello, Monday.com) and familiarity with Adobe Creative Suite.
Basic understanding of data analysis to inform creative decisions.
Strong organizational and time-management skills with the ability to manage multiple projects.
Excellent written and verbal communication skills.
Client-facing experience, building and maintaining strong relationships.
Proficient in English and available to support the Pacific time zone (US).
Preferred Qualifications:
Bachelor’s degree in Graphic Design, Media, Communications, or a related field.
Understanding of design principles, including UI/UX and design patterns.
Experience working in a service-oriented organization or creative agency.
Familiarity with ad tech platforms and digital media.
Knowledge of data visualization tools and methods.
