The Payroll & Implementations Manager is responsible for overseeing the payroll processes; ensuring that all client pay runs are processed accurately and on time for a portfolio of clients. This is a client focused position that will offer a team of payroll professionals varied and diverse opportunities to undertake an automated payroll process. Overall, you will play a pivotal role in coaching, mentoring and developing the team to ensure delivery of pay accurately and on time. You will also be a key contributor to our overall transformation and partner on changing our current payroll offering and processes.

This position is vital to our success and growth. The priority for this role will be providing a high quality service to internal and external stakeholders, and contributing to the long term development of the payroll function.

Many of our customers are not experts in Payroll and/or HR, and our platform and our business are constantly changing. You are responsible for guiding our customers efficiently and effectively. To be successful, you will need to communicate effectively, influence stakeholders, prioritise tasks, and drive outcomes.

As a Payroll & Implementations Manager, you’ll be responsible for:

Client Delivery:

  • End-to-end processing of weekly, fortnightly and monthly client pay runs in accordance with instructions, agreed expectations and best practice.
  • End to end project managing new client onboarding and implementation following established processes; including kick-off meetings, system configuration, training, parallel runs, year to date import and go live.
  • Provide excellent and proactive customer service in all dealings with your managed payroll clients and employees.
  • Perform full function payroll tasks including on-boarding, auditing, reconciliations, terminations, workplace pension and HMRC Reporting.
  • Allocate new clients and account management;
    • Build and develop relationships with clients to ensure trust as an outsourced partner.
    • Liaising with clients on the phone, via email and at times, in person.
  • Manage more complex and high maintenance payrolls within portfolio.
  • Point of escalation for system, payroll or client matters.

People Management:

  • Manage, support and develop Payroll Business Partners within your portfolio.
  • Manage, support and develop Payroll Implementation Specialists within your portfolio.
  • Conduct 1:1’s with direct reports.
  • Accountable for new starter induction and training within your portfolio.
  • Ensure team member absences, such an annual leave, are appropriately managed with adequate handover and advising relevant people internally and externally.
  • Encourage team members to participate in Happiness Survey and other People & Culture and company initiatives (i.e virtual social event attendance etc).

Leadership:

  • Actively participate and contribute to the weekly Payroll leadership meetings and Implementations meetings.
  • Proactively highlight with a solution focus, any obstacles in the implementation process for any specific clients - i.e any new clients where the current process has come across roadblocks or challenges.
  • Run and provide weekly report to Head of Payroll & Implementations.

Information Security & Risk Management

  • Awareness of, and comply with, all information security policies of the organisation relevant to your business role.
  • Contribute to risk assessment where required.
  • Take action to prevent an information security incident from occurring or escalating, where possible, and report any actual or potential security breaches.

What will you bring

  • Minimum 6 years operational experience running UK Payrolls.
  • People Management experience.
  • Excellent knowledge of UK legislation and payroll-related tax matters.
  • Proven experience with various payroll software, HMRC submissions, faster payments/BACS, Auto Enrolment, Payroll Journals, Pension submissions, P11D’s, Reporting, etc.
  • Understanding of GDPR compliance and ISO quality standards is desirable.
  • Project Management experience.
  • Intermediate user of Microsoft Office Suite with advanced Excel skills.
  • Experience of setting goals and managing direct reports
  • Enthusiasm and passion for providing clients with the highest level of service.
