Logistics Documentation Coordinator

We are looking for a detail-oriented Logistics Documentation Coordinator to support our logistics operations by managing customs filings and handling shipment-related documentation. This role involves close attention to accuracy, organization, and proactive communication with the operations team.

Key Responsibilities

  • Receive and review daily emails with notifications for AMS/ISF filings.

  • File AMS/ISF entries via Descartes platform and update them as required.

  • Manage discrepancies in AMS/ISF filings to ensure compliance and accuracy.

  • Monitor a dedicated email inbox to identify and classify incoming shipment-related documents (e.g., arrival notices, rail pick-up numbers, customs exam notifications).

  • Search Jaguar system to match documents with the correct shipment (CT#).

  • Review and determine the correct shipment for LCL or grouped shipments when multiple options exist.

  • Separate document pages when necessary, accurately name and upload them to the Jaguar system.

  • Send internal notifications through Jaguar to update the operations team about uploaded documents.

Workingconditions:

  • Working schedule: 7 am - 4 pm EST, Monday - Friday

  • Remote mode of work

  • 10+ business days of paid time off

Requirements

  • Previous experience in logistics, freight forwarding, or documentation handling preferred.

  • Familiarity with AMS/ISF filings and/or customs documentation is a plus.

  • Strong attention to detail and organizational skills.

  • Ability to manage a high volume of emails and documentation efficiently.

  • Comfortable working with online platforms and systems (Descartes, Jaguar or similar).

  • Good written and verbal communication skills in English.
