Job Overview
We are seeking a highly skilled and experienced Listing Specialist and Transaction Coordinator to join our team on a full-time basis. This vital role is designed for a professional who has extensive experience working with Ontario real estate agents and transactions. The ideal candidate will be familiar with real estate platforms like Reason or Skyslope, and will be responsible for managing all aspects of listing transactions, from sending offers and managing appointments via BrokerBox to uploading listings and assisting with marketing efforts using Canva templates. Proficiency with Follow Up Boss (FUB) for CRM management and experience with email campaigns through Ixact Contact are essential.
Key Responsibilities:
- Manage and coordinate all listing transactions for Ontario real estate agents efficiently.
- Send offers and communicate transaction details effectively with all parties involved.
- Utilize BrokerBox for scheduling and managing online appointments.
- Upload and maintain real estate listings, ensuring accuracy and completeness of information.
- Create marketing materials using Canva templates to support listing promotions.
- Maintain client and transaction records in Follow Up Boss (FUB) CRM system.
- Execute email marketing campaigns through Ixact Contact, targeting potential buyers and sellers.
- Ensure a seamless transaction process by being reliable, dependable, and detail-oriented.
- Maintain strong communication with agents, clients, and stakeholders throughout the transaction process.

Requirements
- Proven mid-senior level experience as a Listing Specialist or Transaction Coordinator, specifically within the Ontario real estate market.
- Familiarity with real estate transaction management software, such as Reason or Skyslope, is highly desirable.
- Experience using BrokerBox for appointment management and listings.
- Skilled in creating marketing materials with Canva and managing CRM databases, particularly Follow Up Boss (FUB).
- Experience conducting email campaigns through Ixact Contact.
- Demonstrated ability to work full-time hours, 9am-6pm EST, with a strong track record of reliability and dependability.
- Exceptional attention to detail and organizational skills.
- Strong communication skills, capable of effectively coordinating transactions and engaging with clients.
