Job Overview

We are in search of an experienced Real Estate Director of Operations for a full-time role, demanding a background in real estate operations with at least three years of experience. This crucial position underpins our team's success, emphasizing agent integration, the development and oversight of efficient operational systems via project management tools like Trello or Asana, and the enhancement of leadership reporting mechanisms. The successful candidate will thrive in a dynamic setting, showcasing capabilities in organization, attention to detail, analytical thinking, and a forward-thinking approach to work.

Responsibilities

Team Management and Oversight:

- Train VA department leads in social media processes, emphasizing step-by-step instructions and content review before posting.

- Support the social media lead in completing strategies effectively.

- Provide guidance to transaction coordinators, ensuring tasks are completed to meet leadership's expectations.

- Cultivate a collaborative and positive team culture, fostering a sense of equality and teamwork.

Communication and Business Continuity:

- Manage formal company communication, ensuring clarity and consistency.

- Develop a deep understanding of the business to ensure smooth operations in the absence of leadership.

- Research and develop strategies to execute outcomes or solutions, leveraging team members and tools effectively.

Project Management:

- Efficiently manage project lists and implementation within the business.

- Monitor timelines and deadlines rigorously, facilitating progress and overcoming obstacles.

- Identify bottlenecks promptly, propose solutions, and delegate tasks accordingly to maintain project momentum.

- Establish clear Standard Operating Procedures (SOPs) for various business processes.

Executive Assistance:

- Provide proactive support for internal tasks and initiatives.

- Conduct thorough research and present innovative ideas for process improvement.

- Generate comprehensive reports tracking key business metrics, highlighting areas for optimization.

- Develop growth plans and strategies to drive the company forward positively.

Tool Proficiency:

- With tech-savvy abilities support setup and utilization of project management tools like Asana, with a focus on continuous self-training for enhanced capabilities.

- Expand and optimize projects within Asana, ensuring proper assignment and monitoring for maximum efficiency.

- Manage and optimize data within the CRM system (Follow Up Boss), while developing processes for platform expansion and improvement.

In summary, this role requires an independent problem solver and positive leader who can effectively manage teams, projects, communication, and executive support functions, while also driving continuous improvement and growth within the organization.

Requirements

  • 5+ years of experience in real estate operations, with a proven track record of managing and improving operational systems.
  • To be an active listener and able to follow directions and own the process.
  • Essential: Must be tech-savvy and have the ability to analyze tools and software to support automated processes.
  • Facilitate effective and positive communication and collaboration by running team meetings and reaching out to the proper individuals for certain needs.
  • Familiarity with real estate tools like FUB, Sisu, and project management platforms such as Trello or Asana.
  • Exceptional leadership skills with experience managing small teams, including virtual assistants.
  • Strong communication skills, attention to detail, and the ability to think critically and solve problems effectively.
  • A strong foundation in building and maintaining operational systems and processes for enhanced efficiency.
  • Be able to bring solutions to the table not more problems for leadership to solve.
