Job Description

Our client is looking for a Part-Time Virtual Assistantto support their daily administrative, communication, and scheduling needs. Over the past few years, they have established themselves as a trusted consulting firm specializing in strategic business solutions and professional advisory services, known for their commitment to excellence, integrity, and innovation in client partnerships.

This role calls for a reliable and detail-oriented professional who takes pride in thoroughness and clear communication. The ideal candidate will manage correspondence, coordinate tasks, maintain organized schedules, and ensure that no important details are overlooked when handling proposals, client inquiries, or internal requests.

Responsibilities
  • Manage and organize the executive’s email inbox, prioritizing messages, flagging key actions, and maintaining professional correspondence.

  • Coordinate calendars, meetings, and appointments, ensuring seamless scheduling across time zones.

  • Read and process proposals, questions, and communications carefully to ensure no details are missed.

  • Create and manage task lists, following up on action items and deadlines.

  • Communicate clearly and professionally with team members, clients, and partners.

  • Support daily administrative tasks such as document organization, data entry, and file management.

  • Utilize AI tools (such as Microsoft Copilot or ChatGPT) to assist in drafting communications, summarizing notes, or improving task efficiency.

  • Maintain a professional, courteous tone in all communications and ensure timely follow-up on pending requests.


Requirements

  • Proven experience as a Virtual Assistant, Executive Assistant, or Administrative Coordinator.

  • Strong command of English (both written and verbal).

  • Excellent attention to detail with a commitment to accuracy and organization.

  • Reliable, patient, and able to handle multiple priorities calmly and effectively.

  • Proficiency inMicrosoft Office Suite(Outlook, Word, Excel, Teams).

  • Familiarity with productivity or AI tools likeCopilotorChatGPT.

  • Ability to manage time zones and maintain flexible availability.

Qualifications
  • Minimum of 2 years of administrative or virtual support experience.

  • Experience managing email and calendar systems for executives or consultants.

  • Strong written communication and comprehension skills.

  • Tech-savvy mindset, eager to leverage AI tools to improve workflow.

  • Exceptional follow-through and accountability for assigned tasks.

  • Polite, professional, and solution-oriented demeanor.
