The Role

The Program Coordinator, Climate Justice is a core member of the Philanthropic Services team and the broader Partnership Services Department at Tides. The Philanthropic Services team provides integrated services for individual, family, foundation, and nonprofit leader partners to support grantmaking, impact investing, advocacy, donor collaboration, and strategic advisory solutions.

Working on the philanthropy team, the Program Coordinator role will ensure the operational efficiency and effectiveness of our climate/environmental justice initiatives, the Women’s Environmental Leadership Fund (WE LEAD) and the Frontline Justice Fund, two Tides-led initiatives (TLIs). Both of these grantmaking initiatives center community-based organizations and proximate leadership and aim to strengthen the power of groups who face systemic barriers to resources and opportunities.

At their core, the Program Coordinator must have a strong internal and external client service orientation and be adept at managing complex administrative and operational needs. The Coordinator will work in direct partnership with the Program Officer, Climate Initiatives and the Executive Director, Tides Foundation and is often the first line of contact for the climate/environmental justice initiatives from grantee and donor partners and internal stakeholders.

The Program Coordinator provides exceptional service and support to ensure that objectives are met, and that those objectives reflect Tides’ mission, and comply with Tides’ policies and procedures. The ideal candidate will be personally connected to Tides’ mission and see this role as an opportunity to directly act as a force for social good.

This is a new, full-time position anticipated to start in late May/early June 2024, lasting approximately 24 months, ending in May 2026. This position, which is funded by two Tides Foundation grantmaking funds, will receive full-time benefits (health, dental, vacation, and more) and has the potential to extend or become permanent after the initial period. Employment beyond this term is dependent on continued grant funding and programmatic needs. This is a remote position based within the U.S.

This position is classified as part of our collective bargaining unit (SEIU 1021).

What you will Do

  • Responsible for continuously improving and streamlining processes, systems, workflows, communication tools, and ways of working.
  • Early or mid-career operations lead that will assist with assignments that have a direct impact on the effectiveness of the climate justice initiatives and the organization.
  • Performs diverse assignments with complex requirements.
  • Performs a full range of standard professional-level work that typically requires processing and interpreting less clearly-defined issues.
  • Works collaboratively and independently, with the ability to identify problems and possible solutions, taking appropriate action to resolve.
  • Makes informed decisions benefitting the fund initiatives, department, and organization.

Supervision And Relationships

  • Reports directly to Executive Director, Tides Foundation.
  • Primary partnership with Program Officer, Climate Initiatives.
  • Seeks guidance from and reports progress to the Program Officer and Executive Director.
  • Interacts with grantee partners, donors, consultants, advisory committee members, philanthropy team, and departments across organization.
  • Receives a moderate level of guidance and direction on complex problems or issues.
  • Provides general guidance and direction or training to other staff in procedures or basic technical aspects of assigned work, as needed.

Grants Management Operations

  • Collaborate with team to identify and implement operational improvements to streamline and improve grantmaking processes and procedures.
  • Manage grantmaking application (e.g., RFP and LOI) processes, including the creation of tools, resources, and timelines, ensuring project deliverables are met.
  • Support production of grantmaking dockets including entering grant recommendations into grants management platform.
  • Partner with grantees and grants management team related to follow-up requests, grants due diligence, and the collection of materials.

Communications

  • Manage email boxes, respond and route requests and inquiries, schedule grantee meetings as needed.
  • Lead communications with third party vendors.
  • Support marketing and communications that include website updates, annual reports, events, and other internal/external projects.

Fundraising Administration

  • Track grants-in, contributions, and reporting requirements to donors.
  • Maintain CRM database.
  • Research potential donors to the climate justice initiatives.
  • Prompt key staff to take fundraising actions in a timely manner.

Administration

  • Process contracts and related payment requests.
  • Schedule meetings, provide reminders, support development of meeting materials.
  • Take notes, and draft, disseminate, and store minutes from governance and team meetings.
  • Manage document collection, retention, and storage in compliance with internal protocols.
  • Maintain data integrity of program information in all databases.

Special Projects

  • Complete special projects as assigned ensuring timely and high-quality service delivery.
  • Support presentation development related to fundraising and external webinars and presentations.
  • Provide operational and logistical support for planned events, webinars, and presentations.
  • Provide research and analysis, and manage data collection projects, as needed.

  • Experience with Salesforce, DocuSign, NetSuite, Google apps and/or Microsoft Office suite.

  • Strong analytical skills, including the ability to work with and manipulate data from multiple sources, assimilate and present information in a clear and concise manner.
  • Strong project management skills, including planning and managing projects both independently and with colleagues.
  • Strong work ethic, self-motivation and team spirit.
  • Solid knowledge of the organization’s technologies, policies and practices.

Education & Experience

  • B.A./B.S. or equivalent years of related work experience.
  • 3 - 5 years of experience in a similar operations role.
  • Preferred experience in philanthropic/nonprofit/grantmaking practices with experience in environmental and climate justice a plus

Compensation

Tides is committed to providing a competitive compensation package. We value pay equity and account for factors such as your location within the U.S., your skills and your relevant experience, and we will not ask for your salary history. Your starting salary will fall into one of three ranges, depending on your location:

  • National market: $54,500 - $68,100 (Most U.S. states)
  • Moderate market: $59,400 - $74,300 (Chicago, Los Angeles, Washington D.C. metro areas)
  • High market: $82,500 - $95,700 (New York City & San Francisco metro areas)
