Job Description:
We are seeking an organized, proactive, and client-focused Client Intake & Operations Coordinator to manage client communications, scheduling, and administrative processes. This role is essential in ensuring a smooth client experience from first contact through follow-up, while also supporting internal operations and systems.
The ideal candidate is detail-oriented, tech-savvy, and empathetic, with a strong commitment to customer service and the ability to manage multiple priorities in a fast-paced environment.
Schedule: Monday to Friday 08:00 AM - 05:00 PM MST
Monthly Compensation: 1,142 to 1,220 USD
Responsibilities include, but are not limited to:
Send contracts to clients through MyCase and track completion
Send reminders and confirmations to clients
Build, document, and maintain Standard Operating Procedures (SOPs)
Ensure all documents are properly stored and organized
Draft and prepare contracts and related documents
Organize and maintain the client database to ensure data accuracy and accessibility
Manage shared inboxes, prioritize messages, and respond in a timely and professional manner
Schedule consultations and appointments efficiently
Serve as the primary point of contact for new and existing clients via email and phone
Perform consistent follow-ups (FUPs) to maintain engagement and move clients through the process
Requirements:
- Highly organized with strong attention to detail
- Proactive self-starter who anticipates needs and follows through
- Strong multitasking and time-management abilities
- Empathetic, kind, and client-centered communication style
- Excellent customer service mindset
- Tech-savvy, comfortable using CRMs, scheduling tools, and document systems
- Committed and reliable, with a sense of ownership over responsibilities
- Bilingual (spoken and written)
