JOB SUMMARY

Code.org is seeking an Executive Assistant to provide high-level administrative and operational support to our executive leadership. In this role, you will act as a force multiplier for executives by understanding their priorities, anticipating their needs, and enabling them to focus on the highest-impact work. You will operate as a trusted partner - supporting prioritization, preparing leaders for decisions and engagements, and ensuring alignment across competing demands while handling confidential information with professionalism and discretion.

This is a role for someone who thrives on turning complexity into clarity, who operates with strong judgment in a fast-moving environment, and who is curious about how tools, systems, and AI can make executive operations more effective.

DUTIES AND RESPONSIBILITIES

In this role you will:

  • Serve as a strategic partner to executive leadership, maintaining a clear understanding of priorities, goals, and tradeoffs, and proactively aligning time, focus, and resources to highest-impact work.
  • Own and manage complex executive calendars, actively prioritizing and making tradeoffs to ensure time is spent on the most critical work, including resolving conflicts and anticipating downstream impacts.
  • Prepare executives for meetings and engagements by organizing inputs, drafting and reviewing materials, and ensuring clarity on objectives, context, and desired outcomes (without owning content creation).
  • Act as an extension of the executive in day-to-day operations, tracking key initiatives, following up on actions, and ensuring priorities move forward.
  • Act as the primary administrative contact for the Board of Directors, managing meeting logistics, preparing materials, and coordinating communications in partnership with the Chief of Staff.
  • Collaborate with internal stakeholders to support high-level initiatives and special projects.
  • Partner with teams to plan and execute team and organization-wide meetings, offsites and events (virtual and in-person), contributing to team effectiveness and culture through strong coordination, logistics, and experience design.
  • Proactively identify opportunities to improve how executives operate, including optimizing workflows, communication, and decision-making processes.
  • Coordinate travel arrangements and process expense reports.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Other duties, as assigned.

EXPERIENCE & QUALIFICATIONS

We seek candidates who have:

  • 5+ years of experience providing administrative support to C-level executives, preferably in a nonprofit or mission-driven organization.
  • Proven ability to anticipate needs, think critically, and exercise strong judgment in a fast-moving environment, with a demonstrated ability to manage competing priorities and support executive-level decision-making.
  • Exceptional organizational skills, time management, and attention to detail.
  • Strong written and verbal communication skills with the ability to interact professionally across all levels of the organization.
  • Proficiency using Google Workspace (Docs, Sheets, Calendar, Meet), Slack, Zoom, and other productivity tools; comfort leveraging tools and systems to improve efficiency.
  • Ability to manage multiple priorities and adapt to changing needs while maintaining a high level of discretion and professionalism.
  • Experience supporting executive workflows, including complex scheduling, meeting preparation, travel logistics, and coordination of high-impact events and engagements.
  • AI fluency and integration in ways of working

In addition, candidates must:

  • Be a U.S. Citizen or Permanent Resident
  • Work within the United States
  • Pass a pre-employment background check
  • Be willing to travel a minimum of two times per year for team events

COMPENSATION & BENEFITS PACKAGE

The expected salary range for this position is $85,500 - $95,000. Most offers are on the lower end of the salary range and are at the company’s sole discretion based on the final candidate’s experience. This allows us to provide a fair and equitable approach to compensation when setting pay and maintaining internal pay equity.

We also offer a comprehensive benefits package for full-time employees that includes:

  • Technology subsidy consistent with our Bring Your Own Device environment
  • Flexible, engaging, and remote working environment
  • Paid time off: 5 weeks total, comprised of 3 weeks vacation annually, plus a 2-week winter break office closure (including Christmas and New Year's), and sick leave
  • Medical, dental and vision premiums paid at 100% for FT positions and their dependents
