SUMMARY

The Operations Specialistplays a critical role in supporting the successful delivery of professionalservices by ensuring seamless financial and administrative execution acrossproject engagements. This individual will report directly to the Director, Projectand Service Operations and will collaborate closely with Project Managers,Finance, Service Delivery Leads and the Client Service Center to driveoperational excellence, maintain project financial integrity, and ensureexceptional client experience.

The ideal candidate isdetail-oriented, highly organized, and analytical with a strong understandingof project financials, systems operations, and process improvement. This roleis ideal for someone who thrives in a fast-paced, high-volume environment andis passionate about supporting cross-functional teams to deliver best-in-classsupport.

JOB RESPONSIBILITIES

  • Engagement & Project Administration
    • Set up and validate new projects in the ProfessionalServices Automation (PSA) and Finance & Operations systems, ensuringalignment with Statements of Work (SOW), Levels of Effort (LOE), and PurchaseOrders (PO).
    • Manage a portfolio of client engagements; monitorproject status and contractual terms to determine billing readiness and ensuretimely and accurate invoicing.
    • Create vendor POs, and review, reconcile, and approveincoming vendor invoices related to service delivery.
    • Perform comprehensive task management includingresource reassignments, rate conversions, creation or adjustment of nonbillabletasks to maintain accurate project tracking and compliance with internalstandards.
    • Coordinate and manage approval workflows by submittingrequests to appropriate stakeholders regarding resource assignments, timeadjustments, and billing exceptions, ensuring timely authorization anddocumentation.
    • Track revenue recognition throughout delivery andrequest necessary financial adjustments or corrections.
    • Execute project closure procedures, ensuring accuratereconciliation of financials and documentation.
  • Service Operations Support
    • Govern documentation and compliance for all activeengagements; ensure adherence to internal policies and standards.
    • Support data gathering efforts and generate insightfulreporting to help inform business decisions and identify trends orinefficiencies.
    • Partner with internal teams to fulfill reportingrequirements and support audit readiness.
    • Perform administrative functions that facilitateproject booking, invoicing, and data reconciliation activities.
    • Conduct regular project data clean-up and integritymaintenance; support efforts to recover unrecognized revenue.
    • Provide operational support and guidance to ProjectManagers on backend processes and administrative tasks.
    • Act as a liaison between Finance, the Client ServiceCenter, and other internal stakeholders to ensure coordinated operations.
    • Proactively identify process improvement opportunitiesand escalate recommendations to leadership to drive operational efficiency andenhance service delivery.

QUALIFICATIONS

  • Minimum of 3 years of relevant experience inoperations, project coordination, or financial administration within aprofessional services or technology environment.
  • Proven ability to manage multiple priorities andhigh-volume workflows in a dynamic, fast-paced environment.
  • Strong analytical mindset with experience interpretingsystem data and producing actionable insights.
  • High attention to detail and excellent organizationalskills.
  • Effective verbal and written communication skills withthe ability to convey information clearly to technical and non-technicalstakeholders.
  • Strong interpersonal skills and ability to buildcross-functional relationships across teams and departments.
  • Self-motivated, resourceful, and capable of workingboth independently and collaboratively.
  • Proficiency in Microsoft Office Suite, particularlyExcel for data tracking and reporting.
  • Experience with PSA tools (e.g., Smartsheet) and ERPsystems (e.g., NetSuite) is strongly preferred.

  • Should be willing toaccept a long-term work-from-home arrangement.
  • Should be amenable toa permanent night shift schedule.
