We are looking for an Scheduling Specialist to work with one of our clients, a leading Architecture Firm based in the US.
This is a fully-remote role and you will be hired as a contractor.
Role: Overseas Scheduling Specialist
Department: Project Management
Location: Remote (Overseas)
Reporting To: Projects Director / Project Manager
Time Commitment: Full-time (LA Time 8-5)
I. Role Summary
The Overseas Scheduling Specialist will be a dedicated, highly technical resource responsible for developing, maintaining, and analyzing all project and production schedules across the TRÜ Architectural portfolio. This role requires expert-level proficiency in Microsoft Project and a deep commitment to precision, ensuring all timelines are optimized, integrated, and clearly communicated to project teams. The specialist will work in close coordination with Project Managers to ensure proactive schedule management and risk mitigation.
II. Core Responsibilities & Deliverables
A. Scheduling Operations & Maintenance
- Schedule Development & Updates: Develop and maintain the master schedule for all active construction projects and internal production/fabrication cycles.
- Update Frequency: Execute comprehensive schedule updates on a bi-weekly minimum, with the capacity to transition to weekly updates as project intensity or complexity dictates.
- Schedule Logic: Ensure all schedules utilize best practices in Critical Path Method (CPM) logic, accurately reflecting dependencies and managing total float effectively.
- Internal Alignment: Actively cross-reference material Bill of Materials (BOM) delivery timelines (ETAs) with the project schedule to identify and flag potential logistics-based constraints.
B. Analysis, Optimization & Reporting
- Critical Path Analysis: Conduct thorough analysis of General Contractor (GC) baseline and update schedules to confirm the project's true critical path, identify delays, and highlight potential risks to TRÜ's scope of work.
- Efficiency Improvement: Analyze scheduling data to propose specific, actionable efficiency improvements in both on-site installation and internal fabrication processes.
- KPI Integration: Work with the PMO to define and integrate key scheduling metrics (KPIs)—such as float consumption, milestone attainment, and lookahead completion rates—into Power BI dashboards for executive oversight.
- Variance Reporting: Generate detailed variance reports highlighting differences between planned and actual progress, along with narrative explanations for deviations.
C. Pre-construction (Precon) Support
- Bid Schedule Creation: Develop high-level, resource-loaded baseline schedules for bids and proposals. These schedules must accurately reflect TRÜ Architectural's production lead times and installation methodologies.
- Duration Validation: Collaborate with the Precon and Estimating teams to validate activity durations and provide expert input on achievable project timelines during the bidding phase.

- Technical Mastery (Microsoft Project): Mandatory expert proficiency in Microsoft Project, including resource loading, dependency linking, critical path filtering, and baseline management.
- Analytical Focus: Proven ability to analyze complex schedule narratives and large datasets, quickly identifying inconsistencies, risk areas, and opportunities for optimization.
- Construction Knowledge: Deep understanding of construction methodologies, specifically within the specialty contracting or building envelope sector, to accurately sequence work.
- Reporting Tools: Proficiency in integrating scheduling data with business intelligence platforms, specifically Power BI, for visualization and reporting.
- Communication: Exceptional written and verbal communication skills for relaying technical findings and coordinating effectively across different time zones.
