Office Coordinator

An exciting opportunity has become available for an Office Coordinator to join Guy Carpenter in Sydney. You will be responsible for administrative support to employees within a fast-paced environment and have the ability to manage a busy and varied workload with competing deadlines. This role-plays a crucial part in ensuring the smooth running of our office and efficient functioning of the team’s daily activities. This role will require someone to take the lead within the team support, to be a self-starter and to hit the ground running with the admin function. A successful assistant should have excellent communication, interpersonal, organisational skills and has strong attention to detail.

We will count on you to:

  • Schedule team meetings and appointments across multiple time zones and arrange conference calls as needed
  • Ensure meeting rooms are set up and equipped with necessary materials with AV support
  • Managing visitor passes and catering for onsite meetings
  • Coordinating team travel arrangements and approvals including flights, hotel accommodation, visa’s etc.
  • Prepare travel schedules for inbound visitors when required
  • Expense management & corporate payments, ensuring compliance with company policies
  • Assist with project management tasks, events, conferences, special events, including research, data collection, reporting and presentations
  • Handling office ad-hoc duties
  • Assist in onboarding new team members
  • Archiving
  • Carry out other tasks requested by the team

What you need to have:

  • Ability to work effectively with colleagues at all levels, must be a good team player.
  • Strong eye for detail and accuracy imperative
  • Demonstrated organisation skills, with the ability to manage priorities
  • Proficiency in MS Office Suite
  • Strong written and verbal communication skills
  • Ability to work independently
  • Curiosity to learn, think critically and ask questions in order to identify process improvements.
