Own luxury trip operations from booking to departure for a boutique travel agency.

$2,200-2,500/month | Full-time | Fully Remote

Hi, I'm Mimi, and I run Truvay Travel from Hanover, New Hampshire.

We're a luxury travel advisory specializing in active, culturally immersive trips for families with young adults. As the only Condé Nast specialist and Virtuoso advisor in the Hanover, New Hampshire area, we design what I like to call "ungoogleable" adventures. These are trips that blend authentic local experiences with luxury elements - think street food followed by Michelin dining and five-star lodges.

We're passionate, open-minded, relentlessly resourceful, integrity-driven, and gracious to all.

We're a small but mighty team that values being cutting-edge and nimble, and we're deeply committed to overdelivering on our clients' experiences.

Right now, I'm swamped - especially during peak seasons like January through March. I need someone to own the operational side of our trips so I can focus on what I do best: building client relationships and growing the business.

🌊 About Our Rhythm

Travel has natural peaks and valleys.

During our busy seasons, it’s all hands on deck—planning trips, preparing clients for departure, and managing real-time hiccups on the ground. This is where precision, responsiveness, and calm execution matter most.

When things slow down, you’ll shift gears: refining systems, improving SOPs, brainstorming creative content for social media and newsletters, and strengthening our operations for the next wave of travel.

Translation: Quiet periods require self-starters who can identify opportunities and take initiative without constant direction. If you thrive with autonomy, enjoy improving processes, and naturally think ahead rather than waiting for instructions, you’ll be very at home in this rhythm.

We're looking for a Travel Operations Manager who will be the operational backbone of our agency. This person will manage sections of the design phase of a trip and all aspects of a trip after booking until departure, ensuring our processes are airtight, our itineraries are flawless, and our systems work seamlessly.

In this role, you will:

🌍 Master internal systems like Axus, TripSuite, TravelJoy, and Constant Contact

📋 Build, refine, and optimise SOPs and templates to streamline workflows

🔍 Review itineraries with meticulous attention to detail—suppliers miss things, but you won't

💎 Send VIP communications to hotel GMs with client preferences and arrival details

💰 Manage trip payments, commission invoicing, and track outstanding payments

🛡️ Oversee travel insurance sales, including quoting policies and maintaining records

🤝 Follow up with partners post-trip to share feedback and strengthen relationships

📱 Create social media posts and videos by repurposing newsletter content

📚 Create onboarding documentation for future team growth

🎯 Provide luxury-level concierge support for the small details that create big impact

This is a full-time role with remote hours between 6am-2pm EST.

Requirements

To excel in this role, you need:

✅ Extremely detail-oriented with a natural drive for perfection

✅ Strong written and spoken English for client communication and itinerary proofreading

✅ Ability to spot gaps, errors, and inconsistencies proactively

✅ Experience with operations, administration, and client-facing tasks

✅ Comfortable learning and using tools like Canva, travel platforms, and CRMs

✅ Ability to take ownership of trips from post-booking through departure

Advantageous to have:

⭐ Background in travel, hospitality, or luxury service

⭐ Experience with itinerary building or similar coordination work

⭐ Basic marketing or social media support skills

⭐ Process improvement mindset with experience organizing workflows and creating SOPs

You're a systems thinker who sees processes that need improvement and can't help but optimise them.

You're an organised multitasker who juggles multiple projects without dropping balls, and you have strong common sense and judgment when it comes to client experience. You're a direct communicator who values clarity and appreciates straightforward feedback.

You're resilient - you care deeply about getting things right but handle pressure and feedback with grace.

Above all, you're a proactive thinker who asks "what's missing?" rather than just following instructions, and you act like a right-hand partner with high ownership, not just someone ticking off admin tasks.

Benefits

What's in it for you?

💰 $2,200-2,500 per month*

🌎 Work from anywhere as long as deadlines are met and you're available for scheduled calls

📈 Growth opportunities in hours, responsibility, and compensation based on performance and interest (if part-time)

JobRack's story began in 2015, born from a vision to connect businesses with the exceptional remote talent nestled in Eastern Europe. Initially founded by two enthusiasts of Eastern European developers, the platform aimed to bridge the gap between business owners seeking skilled professionals and the rich talent pool in the region. The early years focused on establishing JobRack as a go-to resource for companies looking to hire great people from this specific geographical area, emphasizing the strong educational background and technical skills prevalent there.

A significant turning point arrived in 2018 when Noel Andrews acquired JobRack. With a background in leading large teams in the corporate world and a burgeoning entrepreneurial spirit, Noel saw the immense potential to expand JobRack's mission. He refocused the company on bringing the power of Eastern European team members to an even broader range of businesses. This new chapter was marked by a commitment to a 'helpful and friendly hiring' philosophy, aiming to build lasting relationships and provide robust support throughout the often-complex remote hiring process. Recognizing the evolving landscape of remote work, JobRack further expanded its talent sourcing to include South Africa in 2023, identifying the incredible talent and similar value propositions this region offered. Today, JobRack prides itself on being more than just a job board; it offers 'Done With You' hiring services, actively sourcing, screening, and shortlisting candidates to ensure businesses find not just employees, but dedicated team members committed to their long-term growth. This hands-on approach, coupled with a deep understanding of the remote work ecosystem, has enabled JobRack to facilitate thousands of successful hires, helping businesses worldwide build high-performing remote teams.
