Job Description:
We are seeking a versatile and personable Intake Specialist who will also serve as a receptionist and provide light administrative support for Job Duck. In this role, you will be the first point of contact for prospective and existing clients, helping create a professional and welcoming experience from the very first call or message. Your day to day work will blend client communication, legal intake, calendaring, and document support, making you a key contributor to smooth operations and client satisfaction. This position is ideal for someone who is confident speaking with clients, highly organized, and eager to learn within a legal environment. A detail-oriented and proactive professional will thrive here, especially one who enjoys variety and being trusted with responsibility.
• MonthlyCompensation Range: 1,245 to 1,350 USD
Responsibilities include, but are not limited to:
• Calendar deadlines and appointments and regularly check upcoming due dates
• Take and process client payments
• Schedule consultations and manage client appointments
• Follow up with clients regarding document requests and missing information
• Run billing tasks and support invoice management through Clio
• Pull exhibits and assist with document preparation
• Manage and monitor emails for timely responses and follow-ups
• Conduct intake conversations with new and prospective clients
• Save, organize, and maintain digital client files
• Send representation agreements and intake documentation
• Answer incoming phone calls and act as the primary receptionist
Requirements:
• High attention to detail in both written and administrative work
• Clear, confident, and professional verbal communication
• Comfortable speaking with clients and internal stakeholders
• Willingness to speak up, ask questions, and provide input when needed
• Intelligent, curious, and eager to work and learn
• Easily trainable and receptive to feedback
• Reliable and consistent follow-through on tasks and deadlines
