Our client is seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will have 2-3 years of experience in QuickBooks Online (QBO) and possess strong administrative skills. The Office Administrator will be responsible for various tasks related to bookkeeping, invoicing, inventory tracking, and scheduling deliveries.
Responsibilities:
Bookkeeping:
- Manage and reconcile approximately ~10-20 transactions per week using QuickBooks Online.
- Maintain accurate financial records and ensure compliance with accounting standards.
Invoicing:
- Create and send invoices using Excel based on sales and delivery records.
- Follow up on outstanding invoices and ensure timely payments.
Inventory Tracking:
- Monitor inventory levels for 12 to 20 SKUs on a weekly basis.
- Generate inventory reports and update inventory records in QuickBooks Online.
- Coordinate with the sales team to ensure accurate inventory tracking and reporting.
State Inventory Reporting:
- Prepare and submit inventory reports to state regulatory agencies.
- Ensure compliance with state regulations regarding inventory tracking and reporting.
Sales Support:
- Assist the sales team in transferring sales data to the state tracking system.
- Coordinate with the sales team to track sales to specific retailers and products.
Deliveries and Scheduling:
- Manage the weekly delivery schedule, ensuring timely and accurate deliveries.
- Process orders from Thursday to Wednesday morning for Thursday delivery.
- Communicate delivery schedules and order details to the appropriate teams.
Data Entry and Reporting:
- Enter data accurately into various systems and maintain organized records.
- Assist in preparing reports, presentations, and documentation as needed
Requirements
- 2-3 years of experience in QuickBooks Online (QBO) and proficiency in Excel.
- Strong attention to detail and accuracy in data entry and record keeping.
- Excellent organizational and time management skills.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Great communication and interpersonal skills for collaborating with internal teams.
- Knowledge of cannabis industry regulations (preferred but not required).
