About the Role
This is a remote role for an Executive Assistant supporting a boutique firm specializing in business efficiency, strategy, and virtual assistance for small businesses and entrepreneurs. You will play a crucial role in managing executive calendars, coordinating communications, and supporting the smooth operation of a dynamic company. Experience working in an architecture firm is highly preferred.
You will be supporting specialized workflows and project management needs. Strong organizational skills, discretion, and a proactive approach are essential for success in this position.
Key Responsibilities
Email & Calendar Management:
Manage executive calendars, scheduling meetings, appointments, and follow-ups efficiently
Monitor and prioritize incoming emails, ensuring timely responses and clear communication
Coordinate internal and external meetings, including agenda preparation and follow-up on action items
Administrative Support:
Prepare and proofread executive communications, reports, and presentations
Assist with project tracking, document management, and maintaining organized files
Support budget tracking and expense reporting as needed
Architecture Firm Experience:
Familiarity with architectural project timelines, deliverables, and workflows is a significant advantage
Coordinate with project teams and stakeholders, supporting project management tasks
Preferred Skills & Qualities
Prior experience as an Executive Assistant
Experience working in an architecture or design firm.
Strong organizational and time management skills
Excellent written and verbal communication abilities
Ability to work independently, proactively, and with attention to detail
