Job Description:
Step into a pivotal role supporting a dynamic team of luxury travel professionals as they create unforgettable experiences for their clients. As the Virtual Assistant/Executive Assistant, you’ll be the cornerstone of operational efficiency, managing crucial behind-the-scenes processes that enable our travel experts to focus on client relationships. This position offers unique exposure to the luxury travel industry while utilizing your organizational prowess and attention to detail. You’ll work directly with the business owner, who brings a strong financial background, ensuring all operational aspects maintain the highest standards of accuracy and professionalism.
Responsibilities:
- Create and format professional travel itineraries that meet exacting standards
- Manage financial operations including invoicing and accounting reconciliation
- Coordinate with premium hotels and vendors worldwide for client arrangements
- Drive operational efficiency through process improvement and organization
- Support travel agents with administrative tasks and documentation
- Handle time-sensitive correspondence with international partners
- Maintain detailed records and organize digital filing systems
- Execute special projects to support business growth initiatives
- Assist in streamlining operational workflows and procedures
Requirements
- Exceptional attention to detail and organizational capabilities
- Strong written communication skills in English
- Proven experience in administrative or operational roles
- Ability to work US Mountain/Eastern time zone hours and initially European time (just for a month or so)
- Proficiency with business software and digital tools
- Travel industry experience is advantageous but not required
- Self-motivated with ability to work independently
- Strong problem-solving and analytical skills
- Professional demeanor and excellent time management
