General Description:

Reporting directly to the Executive Director, Head of CBO, the Senior Manager of Clinical Business Operations plays a crucial role in our organization’s success as a member and thought partner of the Clinical Business Operations Leadership Team. This position is responsible for leading global project management responsibilities within the Investigator Contracts Management (ICM) and Investigator Payments Management (IPM) departments under CBO. The Senior Manager of Clinical Business Operations supports our robust organization and Sponsor of Choice initiative by fostering a collaborative and results-driven work environment while driving Operational Excellence through optimization of project planning, improvement of business processes and continuously driving desired business outcomes and results.

Essential Functions of the job:

Business Process Management:

  • In partnership with CBO Leadership Team, apply Business Process Management (BPM) overarching strategy to streamline processes and workflows with high-efficiency operations as a prioritized goal.
  • Organize, analyze, and refine ICM and IPM business processes to align with CBO goals.
  • In partnership with CBO Leadership Team and respective key stakeholders, responsible for documenting clear process goals and creating a comprehensive picture of the process’s purpose.
  • Serve as a thought partner for CBO goal setting and partner with CBO Leadership Team to drive functional short-to-long-term business planning, strategy development and execution.
  • Embrace an enterprise mindset to articulately connect functional activities to broader organizational context.
  • Anticipates needs of CBO Leadership Team and prompts actions and conversations that enhances team success.
  • Balance needs of ICM and IPM functions and needs of overall CBO organization.
  • Understands and advises on functional priorities within the context of enabling larger CBO organizational success.

Project Management:

  • Maintain and update critical information related to projects including project reports, summaries, and project plans.
  • Support CBO Leadership in driving deliverables forward within project timelines.
  • Organize, attend, and participate in stakeholder meetings.
  • Organize and prepare presentations for all relevant project meetings and discussions.
  • Document and follow up on important actions and decisions from meetings.
  • Communicate next steps with identified stakeholders in a timely manner and holds team members accountable for action items.
  • Assist CBO Leadership with driving and developing process improvement guidelines and Policies.
  • Helps to ensure documentations are filed per company Standard Operating Procedures (SOP) and Work Instructions (WI).
  • Serves as point person for all project queries and liaison between departments/CBO Leadership.
  • Facilitate the CBO Global Contract signature process.
  • Participate in CBO leadership meetings.
  • Manage reporting of vendor invoices
  • Process vendor agreements for legal review and approval; request for agreement PO’s
  • Manage monthly CBO department budgeting tools and reporting.
  • Provide training on CBO systems during onboarding of new team members.

CBO System and Reporting Management:

  • Manage and oversee CBO tracking and reporting systems.
  • Act as point person for CBO system related questions globally
  • Generate and deliver reports to team members and stakeholders, as needed.
  • Performs data organizing, cleaning/reconciliation activities across CBO data sources and databases.
  • Identify and troubleshoot operational problems, issues, obstacles, and barriers for studies based on metrics data from other project team members.

Additional Responsibilities and Requirements:

  • Bachelor’s degree from an Accredited College
  • 7+ years’ experience in finance, biotech, pharmaceuticals, or a related field in the biotech/pharmaceutical industry
  • Provide excellent customer service and timely issue resolution.
  • Assist in the development and testing of CBO systems and standard processes.
  • Leads change efforts by developing cross team change management strategy in partnership with senior leadership.
  • Confidently experiments in new situations or when faced with unprecedented opportunities, instilling excitement, and assuredness in others about what can be accomplished.
  • Experience using Smartsheet, Advanced Excel skills, and PowerBi.
  • Prior experience in clinical business operations, business process management, project management.

Supervisory Responsibilities:

  • FTEs/FSP/Contingent Workers

Computer Skills:

  • Advanced knowledge Microsoft Office - Word, Excel, Power Point and MS Outlook; Smartsheet, SharePoint, MS Teams

  • Fluent in written and verbal English.

  • High level knowledge of clinical business operations and processes.
  • Detail-oriented without losing sight of the big picture.
  • Organizes and prioritizes multiple initiatives across teams; sets clear plans for delivery.

Salary Range: $133,900.00 - $178,900.00 annually

Actual compensation packages are determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location. Packages may vary by location due to differences in the cost of labor. The recruiter can share more about the specific salary range for a preferred location during the hiring process. Please note that the listed range reflects the base salary or hourly range only. Non-Commercial roles are eligible to participate in the annual bonus plan, and Commercial roles are eligible to participate in an incentive compensation plan.
