Zapier is looking for a Sr. Event Planner. The Sr. Event Planner on the Events & Experiences team supports the planning and execution of impactful in-person and virtual experiences, bringing Zapier’s people and community together. This role is essential to delivering high-quality events and meaningful moments that drive connection, engagement, and alignment with our business and culture. The position requires exceptional communication skills, innovative problem-solving abilities, and a track record of delivering successful events.

About You
5-7 years of hands-on experience planning and executing virtual and in-person events
Highly organized and detail-oriented, but also understands the bigger picture
Confident communicator with strong written and verbal skills; conveys ideas effectively and creates well-structured documentation, designed with clarity, accessibility, and ease of use across cross-functional audiences
Strong project management skills with the ability to juggle multiple priorities
Well-versed in event logistics such as venue coordination, food and beverage, AV, and registration tools
Demonstrated ability to problem-solve in real time and remain calm under pressure
Self-starter who proactively identifies what needs to be done and takes initiative
Eagerness to grow and learn in the events space, including strategy, production, and program development
Willingness to travel for in-person event execution (as needed) and comply with company travel policy
Experience with and/or enthusiasm for learning Zapier, Asana, Coda, and other workflow tools to automate and streamline event planning
AI fluency—you understand how to responsibly use generative AI to enhance your workflows and brainstorm creative event elements

Things You Might Do
Coordinate and execute end-to-end logistics for a variety of events including team offsites, virtual retreats, cultural programs, and Zapier’s flagship All Company Summit.
Partner with stakeholders and collaborate with cross-functional teams to manage timelines, logistics, vendors, programming and attendee experience for high-impact events.
Source venues, vendors, and partners that align with our brand, budget, and needs; support contract negotiations.
Own the full lifecycle of smaller-scale events independently and support complex programs, ensuring smooth planning, clear communication, and polished execution.
Track event tasks, budgets, and schedules at the project level, proactively flagging risks and keeping documentation up-to-date.
Support travel coordination in partnership with Accounting—maintain flight manifests, monitor out-of-policy spend, and communicate relevant guidance to attendees.
Analyze post-event insights to inform improvements and contribute to innovation by piloting new ideas and best practices across event formats.
Owns the planning and execution of weekly all-company hangouts—sets the schedule, sources content, supports presenters, and ensures smooth live facilitation
Leverage AI and automation to streamline planning workflows, boost efficiency, and elevate attendee experiences.
Stay up-to-date with best practices in remote-first, hybrid, and in-person event design and execution.
Execute with precision and creativity, creating polished, inclusive, and delightful event experiences that meet the moment.
