We are seeking a reliable and detail-oriented Operations and Data Entry Specialist to manage critical, recurring monthly workflows across finance, content creation, and data entry for grant reports for our client. This is a multi-faceted role that requires strong professional communication skills, excellent time management, and the ability to process complex financial transactions and data while also assisting with content strategy and creation.
Responsibilities
- Maintain high data integrity and precision by performing necessary data entry for financial records, grant applications, and client accounts.
- Client Onboarding: Conduct client onboarding sessions averaging 40-45 minutes per client, with an expected average of 4 clients per month
- Accounts Receivable: Manage invoicing and payment collection, process deposits and credit card payments, and handle reconciliation and follow-up on outstanding balances
- Accounts Payable: Process monthly payroll, manage vendor payments, and perform expense categorization and review
- Content Creation: Use ChatGPT to draft blog posts and repurpose blog content into LinkedIn posts, email campaigns, and other marketing materials
- Data Entry & Reporting: Primarily handle data entry and respond to emails, with minimal writing required. Manage regular program reporting, track submission deadlines, and ensure timely delivery
Requirements

- Demonstrated reliability and follow-through
- Ability to successfully handle multiple recurring monthly workflows across finance, content, and grants
- Preferred experience in the Grant Writing industry
- Proficiency with Google Suite (Drive, Gmail, Docs, Sheets, etc.)
- Experience with Motion.io and Monday.com
- Working knowledge of Zoho (Books, Timesheets, Analytics)
- Familiarity with Outlook and WhatsApp
