Real Estate Virtual Assistant (Part-Time)

Remote | 20 Hours per Week | Potential to Grow to Full-Time

About the Client

Our client is a solo real estate agent who is looking for a reliable Real Estate Virtual Assistant to help manage the day-to-day administrative and marketing tasks of her business. As her business continues to grow, she needs a trusted support partner who can take the operational workload off her plate so she can focus on serving clients and closing deals.

This role is ideal for someone with real estate experience and strong English communication skills, who can interact with clients professionally and help maintain an organized and responsive real estate operation.

Role Overview

The Real Estate Virtual Assistant will support the client by managing CRM data, handling communications, assisting with social media posting, and helping maintain consistent client engagement. The ideal candidate is organized, proactive, and comfortable handling a variety of real estate admin tasks.

This role will start at 20 hours per week, with strong potential to grow into a full-time position based on performance and business needs.

Key Responsibilities

CRM Management

  • Maintain and update client records in the CRM (Lofty), including birthdays, anniversaries, and client notes
  • Ensure client information is organized and kept up to date
  • Track and manage the client database and sphere of influence

Client Communication & Follow-Ups

  • Monitor and organize the agent’s inbox
  • Assist with responding to emails in a professional and natural tone
  • Follow up with clients and contacts as directed
  • Help maintain consistent communication with past and potential clients

Social Media Support

  • Upload reels and content across Instagram, TikTok, Facebook, and Google Business (content will be filmed by the agent)
  • Add appropriate hashtags and ensure posts comply with real estate advertising regulations and housing disclaimers

Marketing & Client Engagement

  • Upload client property information to Homebot for property updates and appraisal reports
  • Assist with sending client milestone reminders such as birthdays and anniversaries
  • Coordinate sending cards and reminders to nurture relationships with the client’s network

Administrative Support

  • Help keep workflows organized and ensure tasks are completed on schedule
  • Assist with general real estate administrative tasks as needed

Requirements

Qualifications

Required

  • Previous real estate experience (Real Estate VA, transaction coordinator, or real estate admin support)
  • Strong written and verbal English communication skills
  • Ability to write emails and messages that sound natural and professional to clients
  • Highly organized with strong attention to detail
  • Ability to manage multiple tasks and follow through independently

Preferred

  • Experience using Lofty CRM or similar real estate CRM systems
  • Familiarity with Homebot or property update platforms
  • Experience supporting real estate agents or brokerages
