SUMMARY
The Project Coordinatorresponsible for coordinating and delivering small-to-medium IT projects (e.g.,PC/laptop deployments, workstation moves, basic network installs, softwarerollouts) under the guidance of the PM team. Ensures tasks are scheduled,resources allocated, and stakeholders kept informed. Escalates scope changes orrisks to a Project Manager and follows established processes and playbooks tomaintain quality and timely delivery.
JOB RESPONSIBILITIES
- Coordinate end-to-enddelivery for simpler IT projects: PC deployments, endpoint refreshes,peripheral installs, basic cabling, software rollouts, and small office moves.
- Create and maintainproject schedules, task lists, and resource assignments using the company’sproject tools (CW Manage, Moovila).
- Gather and documentcustomer requirements, site info, and acceptance criteria; confirm readinessfor deployment.
- Prepare work orders,materials lists and equipment inventories; coordinate procurement and stagingwith operations/warehouse.
- Dispatch and coordinatetechnicians/third-party vendors (Field Nation); monitor onsite progress andverify completed work against checklists.
- Communicate proactivelywith customers and internal teams: status updates, change notifications,escalation of issues and risks.
- Conductpre-installation checks, basic technical validation, and post-installationacceptance testing; document outcomes in ticketing system (CW Manage).
- Maintain accurateproject documentation: runbooks, cabling diagrams, asset tagging records,photos and sign-offs.
- Manage simple projectfinancials: track time, expenses, and report on budget variances to the PM.
- Apply standard changecontrol and quality processes; escalate any scope creep, complex technicalissues, compliance or safety concerns to a PM.
- Participate in projecthandoffs to account managers or service delivery for ongoing support.
- Contribute tocontinuous improvement by identifying process gaps, recurring issues andsuggestions for playbook updates.
QUALIFICATIONS
- 1–3 years’ experiencecoordinating IT projects or field service operations in an MSP, IT/ISdepartment, or technical services environment.
- Practical, hands-onfamiliarity with PC hardware, OS installation/imaging (Windows), basicnetworking (Ethernet, DHCP), and common productivity software.
- Experience withticketing/PSA systems (e.g., ConnectWise Manage) and basic project schedulingtools (e.g., Microsoft Project, Asana, Smartsheet, Moovila).
- Strong organizationalskills, attention to detail, and ability to manage multiple small projectsconcurrently.
- Excellent written andverbal communication; comfortable interacting with customers and technicalstaff.
- Able to follow standardoperating procedures and escalate appropriately.
Preferred
- Certifications: CompTIAA+, Network+, ITIL Foundation (or working toward).
- Experience with assetmanagement and inventory systems.
- Experience coordinatingthird-party vendors and logistics for onsite deployments.
