Summary

The Lead Associate provides support primarily to the HIV/TB team through program, administrative, logistical, financial, and grant management assistance. This includes supporting the needs and requests from various program components to ensure program consistency, accountability, and efficiency. You will also manage key initiatives and activities such as workshops and events, and contribute to technical contracts, work plans, budget management, and new business development. You will work in close collaboration with relevant departments and project specific team members across the department and agency to ensure the HIV/TB team and key stakeholders receive the necessary support to work effectively and efficiently.

What You’ll Be Doing (Essential Duties)

Program Management/Coordination (65%)

  • Work with program staff to develop and follow internal processes, systems for monitoring and tracking program activities and deliverables, and developing operational quality benchmarks.
  • Manage the process of developing, reviewing, finalizing, submitting, and getting approvals for all programmatic or contractual deliverables in collaboration with project technical and award management staff that will be submitted to the prime or donor. Ensure compliance with agency standards, donor guidance and branding, and copyedit and format as needed.
  • Maintain and facilitate regular communication and relationships with all project stakeholders to support program monitoring, completion of deliverables, and requests.
  • Work collaboratively with Award Management staff and attend weekly Award Management/Finance calls for supported awards.
  • In collaboration with other program and award management staff, manage project start up and close out tasks such as scheduling kick-off/close-out meetings, onboarding/offboarding project staff, and coordinating input for initial/final programmatic deliverables.
  • Coordinate proposal/new business development efforts as requested.
  • Coordinate HIV/TB team meetings and take notes, track action items, and disseminate materials as needed.
  • Serve as point person for consultant recruitment and processing.
  • Act as a resource and champion for Save the Children’s processes, procedures, systems, and tools and help train staff and troubleshoot issues.
  • Anticipate needs based on a deep understanding of project activities, provide solutions, and escalate concerns.

Knowledge Management (20%)

  • Manage the HIV/TB team’s knowledge management systems, including maintaining team and/or project homepages, OneNet webpage, and Workplace community, and ensuring that these are updated in accordance with project, department, and agency guidelines.
  • Coordinate KM activities and deliverables for HIV/TB team and facilitate transfer and application of knowledge and program learning across countries and projects.
  • In collaboration with other staff, develop, coordinate technical input, and finalize program briefs, project success stories, and other project specific documents or reports for external audiences.
  • Organize migration of project documents to the Resource Center and/or other sites as required, and support documentation to ensure all donor and Save the Children brand guidelines are upheld.

Planning and Logistical Support (15%)

  • Manage logistics for workshops, trainings and meetings, including the annual Global Fund Account Management Meeting. Responsibilities may include:
    • Obtain quotations and documentation for selection and approval of meeting sites.
    • Coordinate venues and accommodations, shuttle, hotel, and other transportation arrangements.
    • Schedule travelers’ visits/meetings when requested.
    • Develop and manage meeting budgets and spreadsheets, reserve sites and/or conference rooms, order equipment and food.
    • Complete, post, and track travel authorization requests (TARs) when needed.
    • Obtain travel documents, visas, and immunization requirements from consulates and other international entities as required.

Required Qualifications

  • Minimum of a High School diploma or equivalent, plus at least 3 years of relevant experience
  • Experience supporting projects in public health, international development, or a related field, with relevant experience and knowledge of program management,
  • Demonstrated ability to communicate and collaborate successfully with individuals and teams at all levels.
  • Professional proficiency in MS Office suite, particularly in formatting, branding and proofreading PowerPoint and other documents.
  • Professional proficiency in spoken and written English.
  • Demonstrated commitment to fostering and maintaining an environment of diversity, inclusion, and belonging.
  • Proven successful organizational skills and demonstrated attention to detail in the completion of complex tasks, programs or projects, with an ability to work with competing deadlines and priorities.
  • Willingness and ability to travel internationally up to 15%.

Preferred Qualifications

  • Experience supporting projects in developing countries and/or with Global Fund or USAID funding.
  • Experience supporting a large diverse team including remotely-based and international staff.
  • Experience working as part of a consortium and/or matrix managed environment.
  • Other language skills a plus, particularly French.

Compensation

Save the Children is offering the following salary ranges for this position, dependent on candidate location:

  • Geo 1 - NY Metro, DC, and other locations with labor costs significantly above national average: Target Salary for this position is $66,300 – $74,100 base salary
  • Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $60,350 – $67,450 base salary
  • Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $54,400 – $60,800 base salary

The salary ranges listed above are for US based candidates. For candidates located outside of the US, salary ranges will be based on the salary scales of the local employer of record.

Actual base salary may vary based upon, but not limited to, relevant experience, base salary of internal peers, business sector, and geographic location (more information on job structure is available here). Employee may be eligible for an incentive program.
