Sage Publications is looking for a hybrid Westlake Village, CA based Accounts Payable Specialist to join the team. The Accounts Payable Specialist is responsible for handling day-to-day Accounts Payable and Travel & Expense functions. The Accounts Payable Specialist ensures the timely and accurate processing of invoices and expense reports while maintaining compliance with company policies. The specialist will work closely with vendors and internal teams to resolve discrepancies and support overall finance department's activities.

Your new role:

  • Accurately input vendor accounts and register invoices daily.

  • Match invoices with purchase orders and verify receipt of goods/services, ensuring proper coding and approvals.

  • Ensure timely and correct recording of expenses, preventing errors, and maintaining vendor trust.

  • Weekly review and process employee expense reports for accuracy and compliance with company policies.

  • Create and maintain new user accounts in the expense management system.

  • Provide general support to employees for AP and expense-related questions.

  • Respond to vendor and employee inquiries regarding payment status.

  • Investigate and resolve discrepancies or delays in invoices or expense reports.

  • Maintain positive vendor relationships and ensure transparency in AP processes.

  • Weekly reconciliation of accounts payable transactions and resolution of discrepancies with vendors or internal departments.

  • Maintain organized and up-to-date accounts payable and expense documentation.

  • Provide reliable records for audits, compliance, and financial reporting.

  • Assist with AP and expense-related tasks during monthly close, including reconciliations and reporting.

Could you be our new Accounts Payable Specialist? Skills and Experience:

  • Familiarity with end-to-end accounts payable and expense management administration (e.g., Concur) is not required but is a plus.

  • Strong attention to detail and accuracy in data entry.

  • Ability to manage multiple tasks and meet deadlines.

  • Excellent communication skills for interacting with employees and vendors.

  • Proficiency in Microsoft Office applications. Familiarity with ERP/accounting systems is not required but is a plus.

  • Customer service mindset with the ability to resolve inquiries professionally.
