We are seeking a detail-oriented and dependable Accounting Virtual Assistant to support day-to-day bookkeeping and administrative accounting tasks for a property management operation. This role requires high accuracy, strong follow-through, and the ability to manage time-sensitive responsibilities related to HOA registrations, invoices, reconciliations, and compliance reporting.
The ideal candidate has experience in real estate/property management accounting, is comfortable working inside AppFolio and QuickBooks, and can communicate professionally with internal teams and external HOA contacts.
Key Responsibilities
HOA & Resident Registration
- Register newly acquired properties with the HOA by completing and submitting HOA-specific forms
- Register new residents with the HOA by completing and submitting HOA-specific forms
- Support HOA-related documentation and tracking
Accounts Payable & Invoice Management
- Review and enter bills and invoices into AppFolio accurately and on time
- Resolve bills and invoices placed on hold in a timely manner
- Process HOA statements and reconcile balance discrepancies
- Ensure proper documentation and clean recordkeeping for all transactions
Compliance & Reporting
- Run ADRE compliance reports and upload documentation into Google Docs
- File and pay Transaction Privilege Tax (TPT) as required
- Maintain organized files for compliance-related reporting and audits
Utilities & Administrative Accounting Support
- Coordinate turning utilities on/off for properties as needed
- Code accounting entries in QuickBooks
- Support additional accounting and administrative projects as assigned
Qualifications
Required
- Strong understanding of bookkeeping and accounting fundamentals
- High accuracy in data entry and financial recordkeeping
- Excellent written and verbal English communication skills
- Ability to maintain confidentiality and follow secure procedures
- Reliable, organized, and able to manage multiple deadlines
Preferred
- Experience in Real Estate / Property Management accounting
- Experience using QuickBooks
- Experience using AppFolio (highly preferred)
- Familiarity with HOA processes, compliance reporting, and property operations
