About the Role:

As an Executive Assistant, reporting to the Vice President - Product Manager of Internal AI Innovation you will play a crucial role in supporting the business by managing daily office deliverables, coordinating schedules and travel itineraries, handling communications, and organizing meetings and events. Your organizational skills and attention to detail will ensure smooth operational workflows, enabling productivity and effectiveness for leaders across the organization. This position offers an opportunity to work in a dynamic environment and contribute to the overall efficiency and success of our organization.

The Executive Administrative Assistant will assume responsibilities including supporting the VP of Internal AI Innovation, the cross-departmental coordination of recurring and ad hoc meetings, meeting ownership (agenda creation, note/action distribution/retention, coordinate team-building events, plan and arrange offsite team meetings (in-person and virtual), coordinate agenda and slide deck for Quarterly Town Hall meetings, provide town hall support, coordinate onsite team meetings, and partner with vendor Partners across our AI tooling. They will maintain the SharePoint and Teams pages for Innovation team leaders and their teams, managing security levels as well. They will support their leaders with administrative activities such as expense reports, manage leader calendars and distribution lists. They will also support their immediate teams with travel and expense reports.

Key Responsibilities:

  • Executive Support:

    • Manage complex calendar scheduling, travel arrangements, and expense reporting with a high degree of accuracy and confidentiality.

    • Serve as the primary liaison between the Vice President of Internal AI Innovation and internal/external stakeholders, ensuring timely and effective communication.

    • Anticipate needs and proactively address administrative and logistical challenges.

  • Departmental Operations:

    • Own onboarding logistics for new leaders and key team members, streamlining their integration and engagement.

    • Establish and maintain a cadence across strategic meetings (e.g., tech management reviews, collaboration sessions), ensuring alignment across teams.

    • Coordinate and prepare materials for key leadership meetings, town halls, off-sites, and workshops – including drafting agendas, capturing action items, and tracking follow-ups.

  • Project & Event Coordination:

    • Plan and execute internal events, such as leadership retreats, team-building activities, and customer symposia.

    • Partner with cross-functional leads to ensure timely execution of shared deliverables and communications.

  • Communications & Culture:

    • Draft, format, and help deliver internal communications on behalf of the President to ensure clarity and cultural consistency.

    • Be a culture carrier for the department – helping coordinate recognition moments, milestones, and morale-boosting activities.

    • Meeting notes, agenda, and follow-up activities

Qualifications & Skills:

  • Have proven experience supporting a senior executive in a fast-paced environment.

  • Show proficiency with Microsoft Office Suite, Teams, SharePoint, and calendar management tools (e.g., Outlook).

  • Have excellent written and verbal communication skills.

  • Have the ability to handle confidential information with discretion.

  • Have experience coordinating multi-stakeholder projects or initiatives.

  • Display exceptional organizational and multitasking abilities.

  • Experience planning and executing high-impact events.

  • Possess high emotional intelligence, diplomacy, and a collaborative mindset.

U.S. National Base Pay Range: $59,200 - $98,600. Geographic differentials may apply in some locations to better reflect local market rates.
