Position Overview
We are seeking a proactive Early Engagement & Client Relations Coordinator to serve as the front line for the AI Experiences (AIXP) Conference. This role blends outbound sales development with high-touch client relations, acting as the initial point of contact for potential sponsors, vendors, and speakers.
You will guide prospects through the early stages of our partnership pipeline, converting cold leads into warm, committed partners, while providing a seamless and professional experience that reflects the AIXP brand.
Key Responsibilities
1. Early Engagement & Lead SourcingStrategic Outreach: Use FlowChat to identify, reach out to, and initiate conversations with potential conference sponsors and small business vendors.
Social Media Management: Manage inbound inquiries, linkedin nurture connections, and ensure timely responses to maintain high engagement.
Group Prospecting: Actively participate in Facebook and AI-related communities to generate interest, drive ticket sales, and increase brand visibility.
Strategic Outreach: Use FlowChat to identify, reach out to, and initiate conversations with potential conference sponsors and small business vendors.

2. Client Relations & Sales Development
Initial Consultations: Conduct "first-touch" calls to introduce the AIXP brand, qualify leads, and address initial objections.
Closing & Scheduling: Independently close smaller vendor deals and coordinate handoff meetings with the founder for high-level sponsorship opportunities.
Script Optimization: Follow provided scripts to maintain brand consistency while offering feedback on common questions to improve the early engagement process.
3. Pipeline & Relationship Management
CRM Stewardship: Manage the lifecycle of contacts in HubSpot, logging all notes, calls, and emails accurately.
Tracking & Reporting: Use Airtable to track partnership status (Pending, Negotiating, Signed) and provide weekly updates to the executive team.
Requirements
Required Qualifications & SkillsExperience: Background in Business Development, Account Development, Vendor Relations, or Client Relations is preferred.
Communication: Professional, client-facing English; ability to use KRISP to ensure clear, neutralized audio during calls.
