- Serve as the primary point of contact for HOA board members and homeowners.
- Prepare and coordinate board meetings, including agendas, reports, and minutes.
- Provide guidance to board members on HOA policies and operational decisions.
- Respond to homeowner inquiries and concerns in a timely and professional manner.
- Communicate community updates, notices, and policy changes.
- Handle escalations and resolve disputes while maintaining professionalism.
- Monitor and enforce HOA rules and regulations.
- Issue violation notices and follow up to ensure compliance.
- Maintain accurate records of violations, communications, and resolutions.
- Coordinate with vendors for maintenance, repairs, and community projects.
- Obtain quotes, schedule services, and monitor vendor performance.
- Ensure timely completion of work and proper documentation.
- Work with accounting teams to review budgets, expenses, and financial reports.
- Assist in preparing financial summaries for board meetings.
- Monitor community expenses and support budget planning.
- Maintain organized records of homeowner data, contracts, and documentation.
- Generate reports related to community operations, violations, and performance.
- Ensure compliance with HOA governing documents and policies.
- Minimum 2–3 years of HOA or property management experience.
- Strong understanding of HOA operations, governing documents, and compliance.
- Experience with HOA management software such as Vantaca, AppFolio, CINC, Buildium, or similar.
- Excellent communication, conflict resolution, and customer service skills.
- Strong organizational and multitasking abilities.
- Ability to manage multiple communities and priorities.
- Experience working with U.S.-based clients is preferred.
- Must be currently residing in the Philippines or Latin America.
- Must have a stable internet connection and a remote-ready workstation.
