While this role is open to remote candidates in our approved hiring regions, we have a strong preference for candidates based in Pittsburgh, PA. Local candidates will be prioritized during the interview process.


The Role

As an HR Operations Analyst, you will play a crucial role in supporting various HR functions, including onboarding, benefits administration, payroll, HRIS management, employee inquiries, compliance activities, documentation management, and recordkeeping. You will work closely with the HRBP team and Payroll/Benefits team to ensure efficient and effective HR operations that align with the company's goals and values.

Responsibilities

  • Oversee and execute the onboarding/new hire orientation process from conditional offer through the first week of employment, including background checks, identity verification and work authorization, HRIS onboarding and the new hire orientation program
  • Assist in the administration of employee benefits programs, including health insurance, retirement plans, and other employee perks.
  • Maintain and update the HR Information System (Workday) and personnel folders with accurate employee data, ensuring data integrity and confidentiality.
  • Oversee and execute the leave of absence process for employees, including employee communication and guidance on leave options and administering the leave of absence through our HRIS and third party leave management vendor
  • Assist in maintaining and updating the company’s compensation structure by conducting compensation analysis, benchmarking studies, research and ad-hoc analysis
  • Generate reports and analyze HR metrics to support data-driven decision-making and strategic planning.
  • Assist in implementing system upgrades, enhancements, and integrations to optimize HR processes.
  • Assist in reviewing and auditing semi-monthly payroll processing
  • Provide timely and accurate responses to employee inquiries and escalate complex issues to appropriate HR personnel as needed.
  • Support HR compliance activities, including audits, reporting, and updating or documentation of policies and procedures.
  • Ensure proper documentation of HR processes and procedures to support audit and compliance requirements.
  • Manage HR-related documentation, both physical and electronic, in compliance with retention policies and legal requirements.

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • 2+ years of experience in HR with strong understanding of the various functional areas within HR
  • Proficiency in Workday, Excel/Google Sheets strongly preferred
  • Strong knowledge of HR policies, procedures, and best practices.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Kiavi takes a market-based approach to pay, and pay may vary depending on your location. The expected annualized base pay range for this full-time role to be performed remotely is $68,000 to $102,000 + 5% bonus + benefits. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries. Within the range, the successful candidate’s starting pay will be determined based on job-related skills, experience, qualifications, work location, and market conditions. Your recruiter can share more about the specific base pay range for your preferred location during the hiring process. Please note that the pay range listed above reflects the base salary only, and does not include the target value of bonus or benefits.

  • Medical, Dental, and Vision Insurance: Kiavi offers free employee-only coverage for medical, dental, and vision plans. Dependents receive a heavily discounted premium, competitively placed in the 90th percentile for cost.
  • Health Savings Account (HSA): For those enrolled in a High Deductible Health Plan (HDHP), Kiavi provides an annual employer contribution to HSAs: $1,000 for individual coverage and $2,000 for dependents.
  • Disability and Life Insurance: Immediate access to short-term and long-term disability insurance, as well as group life and AD&D insurance, with coverage at 1x annual salary.
  • Remote Work Policy: Kiavi supports working remotely for day to day activities for most roles and occasionally may ask employees to gather in person for key meetings, training, team building etc. For remote workers, Kiavi offers a one-time office setup reimbursement of up to $500 and a monthly $85 stipend for internet and phone expenses. For in-office workers, Kiavi offers employer contributions to commuter benefits account, either for parking or public transportation.
  • Flexible Time Off: Employees are empowered to manage their own time off, with no strict limits, as long as it's approved by their manager.
  • Paid Leaves: Up to 8 weeks of paid leave for medical or caregiver purposes, and 12 weeks of paid maternity/paternity leave. Short-term disability leave is also available for birthing mothers.
  • 401(k) & Company Match: A 401(k) plan managed by Fidelity, with Kiavi matching 100% of contributions up to 3% of compensation or $8,000 (whichever is less). All employer contributions are immediately vested.
