Job Description:

This Executive Assistant role with a financial focus plays a critical part in supporting leadership operations and ensuring daily workflows run smoothly and efficiently. The position centers on inbox management, scheduling, task coordination, and financial follow‑up, helping leadership stay organized, informed, and focused on higher‑priority work. You will work closely with internal stakeholders to track tasks, manage calendars, and prepare accurate written communications that support billing and accounts receivable processes. This is an ideal opportunity for someone who thrives in structured environments, values written clarity, and enjoys supporting both operational and finance‑related tasks. Attention to detail, reliability, and comfort working behind the scenes will be key to success with Job Duck.

• Compensation Range: 1,245 to 1,350

Responsibilities include, but are not limited to:

  • Prepare past‑due and retainer replenishment letters for review and approval

  • Schedule internal and external meetings

  • Enter, update, and manage tasks in Asana

  •  Categorize incoming emails and organize them into folders

  • Track time accurately within internal accounting systems

  • Support leadership with block scheduling and calendar management

  • Coordinate with internal team members to produce weekly accounts receivable lists

  • Prepare draft responses and follow‑up emails related to payments

  • Identify and summarize high‑priority emails for leadership review

Requirements:

• Full time role supporting leadership operations and financial coordination

• Work schedule: 8:00 AM to 5:00 PM CST

• Low call volume, primarily focused on coordination and scheduling
• Primarily written communication with internal team members and clients
• Strong emphasis on accuracy, documentation, and time tracking

Software and Tools Required

• Asana for task and workflow management

• CosmoLex for timekeeping and accounting documentation
• Email and calendar management systems
• Internal communication tools
• CRM and VoIP tools as used by the organization

Work Shift:

8:00 AM - 5:00 PM [CST][CDT] (United States of America)

Languages:

English, Spanish
