Why This Role Matters:
The Document Specialist manages the end-to-end lifecycle of business-critical documents within a supplemental healthcare environment — from drafting, formatting, and revision through version control, implementation, and ongoing maintenance. The role also supports regulatory and product readiness by tracking Department of Insurance filing statuses for current and upcoming product lines. The ideal candidate is highly detail-oriented, organized, and well-versed in document governance, regulatory requirements, and healthcare privacy standards (HIPAA, PHI, PII).
How You'll Contribute:
- Document Lifecycle Management: Own all phases — request intake, drafting, formatting, review, approval, implementation, and maintenance — across supplemental healthcare products, operations, and compliance materials.
- Quality & Compliance: Ensure all documents meet standards for accuracy, branding, formatting, readability, and regulatory requirements.
- Document Governance: Maintain libraries, file structures, naming conventions, and version histories across shared systems; track changes, deadlines, approvals, and implementation status using internal tools.
- Regulatory Tracking: Monitor Department of Insurance application, filing, and approval statuses across applicable states to support product documentation updates and implementation timelines.
- Auditing: Perform routine audits of active documents to confirm current benefit schedules, plan details, state-specific language, and operational accuracy.
- Internal Documentation: Develop and maintain SOPs, job aids, reference materials, and workflow documentation for internal teams.
- Issue Resolution: Respond to document-related corrections, compliance-sensitive inquiries, and process issues promptly and professionally.
- Process Improvement: Identify opportunities to enhance document workflows, filing trackers, templates, and audit controls.
- Broker Appointments: Support the appointment process by gathering documentation, submitting requests, tracking approvals, and maintaining compliance records.
- Product Implementation: Coordinate timelines and ensure all required documentation is in place prior to product launch.
What We're Looking For:
- Bachelor’s degree or equivalent professional experience
- 2+ years in document management, compliance support, healthcare operations, or a related field
- Proven experience managing complex documents across the full creation-to-maintenance cycle
- Strong written communication, proofreading, and editing skills
- Exceptional attention to detail and organizational ability
- Ability to work independently in a remote environment while managing multiple priorities
- Proficiency in Microsoft Word (formatting, styles, templates) and Excel (trackers, filters, basic formulas)
- Experience maintaining trackers, shared repositories, and document libraries
- Working knowledge of HIPAA requirements and proper handling of PHI/PII
- Ability to interpret and consistently apply document standards, business rules, and regulatory requirements
Preferred Skills:
- Experience in supplemental healthcare, insurance, employee benefits, or a regulated healthcare environment
- Familiarity with Department of Insurance filings, insurance applications, or state-specific product documentation
- Experience creating and maintaining SOPs and workflow documentation
- Knowledge of version control, audit readiness, and document governance best practices
- Experience with SmartSheet, ShareFile, or similar workflow management platforms
- Experience coordinating with offshore or distributed teams across time zone
Compensation:
Our compensation reflects the cost of labor across several U.S. geographic markets. The base pay for this position ranges from $70,000/year in our lowest geographic market up to $80,000/year in our highest geographic market. Pay is based on factors such as market location, job-related skills, and experience.
