The Academic Operations Manager(AOM) will play a significant role in contributing to the growth and success of Pamoja Online Courses. Ideally, they will have
This is a hands-on, operational-based role, with management responsibility, supporting the academic team while owning and contributing to high-profile internal and external cross-company projects. In addition, the role will include reporting and analysing academic data to inform current and future products.
RESPONSIBILITIES
1. Academic Planning
Work with others in the Academic Team, School Services, and Sales Teams to support the planning and implementation of teaching resources to support predicted student enrolments. This includes support to:
- Teacher recruitment and contracting to act as the first point of contact for HR and IT to ensure that teachers have access to all necessary systems and databases are kept updated;
- Analysis of sales pipeline and teacher availability to predict upcoming resource requirements;
- Allocation of students and teachers to IB sections (classes) to ensure the best academic fit and optimal commercial outcome.
2. Management of teachers and Course Advisors for assigned courses.
- Manage teaching activity according to their Schedule of Services, noting examples of good practice and areas to improve. Implement escalation procedures with teachers where necessary reviewing actions, outlining expectations, and reinforcing next steps. Escalate to Principal of Online Courses if required;
- Manage Course Advisor activity according to their Schedule of Services for allocated courses, noting examples of good practice and areas to improve. Implement escalation procedures with Course Advisors where necessary reviewing actions, outlining expectations, and reinforcing next steps. Escalate to Principal of Online Courses if required;
- Liaise with all IB Course Advisors to compile an action plan to address common areas of concern and highlight good practices across courses.
3. Academic Triage:
- First contact: act as the first point of contact for the resolution of operational issues arising;
- Coordinate effective responses to “issues arising”. Use the following systems to monitor, address and escalate issues as appropriate;
I. Zen Desk – daily reports and tickets from community members;
ii. Platforms:
- Learning platform – student and teacher interface
- PLC platform – teacher workspaces
4. Operational Analysis:
Coordinate, monitor, and report on trend analysis of service standards via;- regular trend analysis of service tickets;
- routine trend analysis of teacher engagement as represented by platform data;
- ongoing monitoring of engagement in teacher forums and faculty meetings;
- review processes and make recommendations to improve efficiency and collaboration with other teams/colleagues;
- monitoring user feedback via satisfaction surveys.
5. Lead on key operational processes:
- Academic operations calendar: Coordinate and manage the delivery of key communications and associated resources to teachers, as per the operations calendar;
- Oversee End of Year and Trial exam processes: Coordinate creation of papers with CAs and QA process. Liaise with SST to send out papers and follow up on missing exams. Delegate tasks as required;
- Internal Assessment and Predicted Grades: Manage IB Internal Assessment and Predicted Grade procedures with Course Advisors and teachers. Liaise with SST to ensure processes and submission guidelines are adhered to and communications managed accordingly.
6. SOP and Policy updates:
- Coordinate the annual review of SOPs and Policies;
- Ensure articles in Help Centre are up-to-date and tagged appropriately;
- Create new articles for topics arising throughout the year.
7. Outcomes monitoring:
- Review academic trends in student engagement and performance as per the Academic Review process, via automated scheduled reports;
- Liaise with the Principal of Online Courses and Course Advisors to identify teacher and subject trends;
- Liaise with SST to identify school trends.
8. Mentor and line manage new starters in the Academic team as directed by the Principal of Online Courses.
Outline key policies and practices and advise on Academic ticket triage and communication.
9. Faculty Meeting Coordination:
Coordinate faculty meeting logistics, scheduling and communicating faculty meetings with teachers.
10. Pamoja Representative:
Represent the organisation at public events (conferences, school visits, etc.) as required
11. Contribute to projects, examples include:
- Programme Evaluation process
- WASC Re-accreditation process
- Internal projects as they arise
