THE JOB: Senior Administrative Assistant, People & Culture (18 Month Contract)

The starting salary range falls within the minimum to mid-point of the salary range.

Starting Salary Range: $49,991 - $62,489

Reporting to the Vice President, People and Culture the Senior Administrative Assistant is responsible for providing integrated administrative support to the VP of People & Culture and other team leaders with any related initiatives, projects and working groups. The Senior Administrative Assistant is expected to have excellent oral and written communication skills as they will compose and edit correspondence, and a variety of high-level documents for the Vice President and People & Culture team, such as meeting minutes, briefing notes, agendas, power point presentations and emails. This will require someone who has outstanding attention to detail, a high-level of confidentiality and the political acumen to communicate with internal and external stakeholders.

This role will also be expected to work with the VP in stewarding the team’s budgets, submitting team expenses, organizing and scheduling team meetings, team events, and organization wide programs to elevate the employee experiences (Employee Awards, Length of Service awards and Employee Appreciation initiatives). This role will also be expected to learn and support the administration of Employee based platforms as needed (UKG, 15Five and Bucketlist).

Along with the duties listed above, they will serve as a point of contact for both internal and external stakeholders who have inquiries and requests related to People & Culture, support Fresh Service tickets, and supporting ad-hoc projects as needs.

  • Analyzes multiple alternatives, risks, and benefits for a range of potential solutions.
  • Recommends resource requirements and collaborates with impacted stakeholders.

Thoroughness (I):

  • Demonstrates operational agility and renegotiates priorities as necessary.
  • Uses organizational systems that result in multiple critical activities to be identified and completed on time.
  • Puts systems in place and uses them to monitor and detect errors and problems.
  • Tests and inspects outputs and applies quality checks prior to work submission.

WHAT YOU BRING

  • High school graduation supplemented by post-secondary education such as business and secretarial courses, workshops and seminars as well as one year of related experience; OR an equivalent level or related work experience in lieu of post-secondary education may also be considered.
  • Excellent writing and editing skills and proven ability to develop clear, concise, and comprehensive written communication.
  • Excellent judgment in setting priorities, identifying issues and determining action required when working under pressure and deadlines.
  • Superior interpersonal, oral communication and relationship management skills.
  • Adept at balancing major concurrent tasks and projects and working with both internal staff and stakeholders in a coordinated manner.
  • Proven ability to respond to a wide variety of issues and deal with unclear situations and conflicting demands, and to seek leadership direction and support with priority setting when needed.
  • Excellent computer skills using Word, PowerPoint, Outlook and Excel.
  • Demonstrated ability to work independently and as a member of the team.
