Providing a high level of support to the executive, the Executive Assistant will be responsible for responding to internal and external inquiries while developing and maintaining excellent relations with colleagues and clients and act as a brand ambassador for the company.

The Executive Assistant will have the highest standards of organizational and communication skills and demonstrate a very strong autonomy.

Essential Functions:

  • Support executive with daily activities as required
  • Act as the point of contact between the executive and internal or external constituencies
  • Organize workflow by reviewing and prioritizing executive’s emails, correspondence and meeting preparation requirements
  • Coordinate and manage calendar for internal and external meetings and conference calls, including room arrangements, catering, audiovisual, etc.
  • Work closely with the executive to proactively keep her or him well-informed of upcoming commitments, responsibilities, tasks or potential issues
  • Screen incoming calls, emails and requests and redirect when possible to optimize executive’s time
  • Assist executive with preparation of internal and external communications
  • Coordinate and manage all travel arrangements
  • Prepare and submit expense reports
  • Organize social functions as required
  • Perform other job duties as assigned by the supervisor
  • College degree required
  • 5+ years experience supporting a corporate executive
  • Advanced skills in Microsoft Office Suite and Google Workspace
  • Ability to handle multiple tasks, changing priorities and effectively meet deadlines
  • Deliver high-caliber work in a fast-paced environment
  • Mature judgment in interpersonal relations
  • Self-starter and autonomous
  • Occasional overtime required
  • Proficiency in French is favorable, but not required

Physical Demands:
Regularly required to sit, occasionally stand and walk, use hands and fingers, handle, or feel objects, tools, or controls; and reach with hands and arms. Regularly required to talk or hear. Seldom lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment:
General office, production environment and plant operation. Daily exposure to computer display and shop environment.
