The Schedule Coordination Supervisor provides direction and oversees the day to day operations of Schedule Coordinators and Dosing Coordinators. Ensures that schedules and information gathered during scheduling process are sent to the appropriate client and other internal departments and that all customer deadlines for schedules are met. Ensures that patients and physician offices are contacted to complete the scheduling process. Ensure that information is provided according to the customer facility specification and that all patients scheduled have doses ordered in advance of the appointment. Resolves escalated issues and problems. Responsible for hiring performance reviews, team member coaching and development. Ensures that all team members follow standardized work and assures that all processes are completed prior to scan dates and that all departmental performance goals are met. Oversees training staff and activities to ensure policy and procedures are followed and ensures compliance and quality in all processes. Ensures that every customer receives the highest quality of customer service.
Acts as a contact person and liaison for all customer requests and concerns from Operations Team members and other customers.

Specific duties include, but are not limited to:

  • Provides direction and oversees the day to day operations of Schedule Coordinators. Ensures that patients and physician offices are contacted to complete the scheduling process. Ensure that information is provided according to the customer facility specification and that all patients scheduled have doses ordered in advance of the appointment.   • Supervises the Schedule Coordinator team including, hiring, performance reviews, coaching, and development and performance management.

  • Promote teamwork within the office to ensure a professional, service-oriented work environment. Maintain effective communications with staff through exceptional verbal and written communications.

  • Review all new and updated reference materials, policies and procedures. Attend meetings, coaching and training sessions. Respond to audit feedback.

  • Acts as a source of reference for team members, assists with training of new hires and resolves complex and escalated issues.

  • Handles other job duties as assigned.

Position Requirements:

  • Bachelor's Degree or equivalent experience required.

  • Bachelor’s degree in business, accounting, finance or statistics or equivalent work experience.

  • 3+ years of experience in scheduling department or related field.

  • 3+ years of supervisory experience.

  • Knowledge of medical terminology and procedures.

  • Ability to communicate with a variety of personalities in a sensitive and patient manner essential.

  • Computer literacy; experience with general office equipment; strong multi-tasking abilities; strong communication skills; ability to work well with physicians, patients, field operations team members and co-workers.

  • Solid decision making skills; demonstrated leadership and good judgment, ability to train new skills and direct work activities.

  • Occasional travel required.

  • The COVID-19 vaccination is/may be a condition of employment.

Physical Requirements:

Standard office environment.
