Description:

We are seeking an experienced Project Manager to drive and deliver key strategic initiatives that support DOXA’s rapid growth. As part of the Project Management Office (PMO), you will work across functional teams to streamline acquisitions, optimize operations, and enhance organizational efficiencies.

At DOXA, our PMO exists to scale and accelerate delivery of enterprise-wide strategies—increasing value through structured execution. A primary focus of this role is leading the seamless onboarding and integration of newly acquired companies within a six-month timeframe. The Project Manager will also drive other enterprise-wide initiatives across Operations, IT, and Legal Compliance.

This role requires someone who thrives in a fast-paced environment, proactively identifies and mitigates risks, and is a strong communicator who can engage stakeholders at all levels. The ideal candidate is a driver and leader—not just an executor—who ensures accountability, alignment, and execution excellence.

Requirements

Key Responsibilities

Acquisition Integration & Enterprise Initiatives

  • Lead and execute multiple concurrent projects, ensuring newly acquired companies are fully integrated into DOXA’s platform within six months.
  • Develop detailed project roadmaps and execution plans, ensuring clear milestones, accountability, and stakeholder alignment.
  • Own the full project lifecycle—from initiation to closeout—ensuring seamless execution, effective change management, and clear business impact.
  • Collaborate closely with cross-functional teams (Operations, IT, Legal, Finance, Underwriting) to identify gaps, dependencies, and required system/process changes for a smooth transition.
  • Standardize and refine best practices for acquisition integration and project execution, improving efficiency and scalability.

Risk Mitigation & Communication

  • Proactively identify, assess, and mitigate risks that could impact project timelines, scope, or budget—escalating critical issues as necessary.
  • Lead regular status meetings with cross-functional project teams, ensuring clarity of progress, key deliverables, and next steps.
  • Develop and present reports & dashboards for leadership, providing clear insights into project health, key risks, and performance metrics.
  • Foster a culture of transparency and accountability, ensuring project teams and leadership have a real-time understanding of project challenges and successes.

PMO Maturity

  • Continuously refine project management frameworks, tools, and methodologies to enhance efficiency and execution speed.

Qualifications

The ideal candidate will possess:

  • Bachelor’s degree or higher (Business, Management, or related field preferred).
  • 5+ years of experience as a Project Manager in a fast-paced, high-growth environment.
  • Project Management Professional (PMP) certification from PMI
  • Proven ability to manage 5+ complex projects simultaneously, delivering results on time and within scope.
  • Insurance industry experience (5+ years), with a strong understanding of insurance processes.
  • Proficiency in Monday.com or other cloud-based project management software.
  • Experience in building reports and dashboards, translating data into actionable insights.
  • Experience managing projects involving business integrations/mergers and acquisitions is a plus
  • Familiarity with process improvement methodologies, such as Lean and Six Sigma including process mapping, is highly valued and considered a plus.
  • Exceptional communication and facilitation skills, with experience leading meetings and engaging diverse stakeholders.
  • A continuous learning mindset, with a desire to grow within the business and contribute to its evolving needs.
