Role Overview
We are seeking a detail-oriented and proactive Executive Legal Secretary to join our dynamic legal team. In this crucial role, you will provide comprehensive administrative support to senior legal executives, ensuring the smooth operation of the legal department while contributing to the overall efficiency of our firm.
Responsibilities
- Manage and prioritize the executive's calendar, scheduling meetings, coordinating travel arrangements, and ensuring timely preparation of materials
- Draft, edit, and proofread legal documents, correspondence, and presentations with a high degree of accuracy and confidentiality
- Facilitate communication between internal teams and external stakeholders, ensuring that all legal inquiries are addressed promptly
- Maintain and organize legal files and documentation, ensuring compliance with firm policies and legal requirements
- Assist in the preparation for legal proceedings, including organizing case files and conducting necessary research
- Support billing processes and manage expense reports, ensuring accuracy and compliance with company policies
- Enhance department productivity by implementing effective administrative processes and tools
Required and Preferred Qualifications
Required:
- 5+ years of experience as a legal secretary or in a similar administrative role within a law firm or legal department
- Proficient in legal terminology, processes, and document preparation
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills, with a high level of attention to detail
Preferred:
- Experience with case management software and legal research tools
- Familiarity with corporate governance and compliance matters
- Ability to work independently and collaboratively in a fast-paced environment
Technical Skills and Relevant Technologies
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and legal document management systems
