Role Overview
We are seeking a highly organized and detail-oriented Lead Litigation Secretary to join our legal team. In this pivotal role, you will provide comprehensive administrative support to attorneys engaged in complex litigation matters. Your expertise will ensure the smooth operation of case management while facilitating effective communication within the team and with external stakeholders.
Responsibilities
- Manage and organize case files, including pleadings, discovery documents, and correspondence, ensuring all materials are readily accessible and up-to-date.
- Prepare and file legal documents with courts and administrative agencies, adhering to strict deadlines and compliance requirements.
- Coordinate and schedule depositions, hearings, and other critical meetings, while maintaining effective communication with clients and witnesses.
- Assist attorneys in trial preparation, including the creation of trial binders, exhibits, and demonstrative materials.
- Support the legal team in maintaining calendars, tracking deadlines, and managing case-related tasks efficiently.
- Oversee the onboarding and training of new administrative staff, promoting best practices and enhancing team productivity.
Required and Preferred Qualifications
Required:
- 5+ years of experience as a litigation secretary or legal assistant, with a strong understanding of litigation procedures and terminology.
- Proficiency in legal research tools and case management software.
- Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills, with a keen attention to detail.
Preferred:
- Experience supporting complex litigation cases, including commercial, employment, or intellectual property litigation.
- Familiarity with e-filing systems and electronic discovery tools.
- Paralegal certification or equivalent training.
Technical Skills and Relevant Technologies
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and legal management software.
- Experience with document management systems and electronic filing platforms.
- Knowledge of case management software such as Clio or similar tools.
