We're seeking an Executive Assistant to join our growing team.

What You'll Do:

• Administrative Support

  • Handling phone calls, emails, and other communications

• Project & Task Management

  • Assisting with special projects and tracking deadlines / Invoices

  • Coordinating with different departments on behalf of the executive

• Communication & Coordination

  • Acting as a liaison between the executive and internal/external stakeholders

  • Drafting emails, reports, and other documents

  • Ensuring smooth flow of information within the organization

• Meeting & Event Organization

  • Preparation of Executive Summaries for meetings, taking minutes, and following up on action items

• Strategic Support & Decision-Making Assistance

  • Conducting research to support executive decision-making

  • Providing insights and recommendations on workflow improvements

  • Managing high-priority tasks and ensuring efficiency in executive operations

• Marketing Support

  • Creating and sending newsletters to clients and prospects using HubSpot, Mailchimp, and Canva.

  • Developing content and ensuring timely communication with stakeholders.

  • Proactively managing content creation with minimal supervision.

Requirements

What We're Looking For (Required Skills/Experience):

• Proven experience as an Executive Assistant.

• Strong working knowledge of HubSpot CRM (marketing knowledge is essential).

• Proficient with Mailchimp for creating and sending email campaigns.

• Experience in content creation (including newsletters) with a strong understanding of design tools like Canva.

• Ability to work independently without supervision and manage tasks efficiently.

• Excellent organizational and time management skills.

• Exceptional attention to detail and accuracy.

• Strong written and verbal communication skills.

• Ability to work independently and as part of a team.

• Experience with data migration, preferably from ClickUp to HubSpot CRM, is highly desirable.
