LOOKING FOR FILIPINO CITIZENS BASED IN THE PHILIPPINES
Schedule: Monday to Friday, 8am-5pm CST (8pm-5am PHT)
Salary Range : 1200 - 1500 USD/month (to be assessed and approved by the client based on the candidate’s experience, knowledge, skills, and abilities)
About the Role:
The Quotes Coordinator will report directly to the Operations Manager. The ideal candidate will be detail-oriented and organized with a demonstrated ability to work both independently and as part of a team. In addition to being an excellent communicator, candidates should possess strong mathematics and IT abilities. Previous experience in computer-based estimating systems and construction materials planning/procurement preferred.
Responsibilities:
- All operations positions (quotes, orders, and purchasing) will cross train and be able to fill each seat.
- Generate sales quotes and manage quotes.
- Create quotes for POs that have been submitted with no previous quote.
- Enter new pricing as distributed by the factories and manage data entry
- Assist the team in tracking new and existing orders
- Add new customers, new designers, and associates to SPS - our inventory software program.
- Answer customer questions about specific product details and ask questions to gain specifics about the request.
- Work with Logistics for lead time and landed costs for ocean transit & air freight.
- Work with Logistics for any required added tariffs or duties that need to be applied to foreign products.
- Occasional phone answering duties - fielding direct phone calls to quotes department or forwarding calls to the appropriate department.
- Forward requests for samples to the samples department.
- Work with sales reps when alternates for products are needed asap or for pricing reasons.
- Call and follow up with suppliers.
- Add stateside suppliers to the inventory software program.
- Request material pricing, MOQs to produce material, factory scheduled production, production lead times, and stock/availability from purchasing officer.
- Request film availability or discontinuation for custom colors to quote customers.
- Update part numbers with correct available information, and changes, when creating quotes.
- Check inventory for customers and sales reps.
- Answer pricing questions from the orders dept and sales reps.
- Source pricing from vendors, coworkers, pricing sheets, & the VP of Sales.
- Use data from price sheets, inventory software program, and purchasing to generate a quote.
- Occasional coverage for other positions on Operations team for absences (training provided).
- Collaborate with the VP of Sales for material margins for each project’s quote and give discounts per approval.
- Update quotes with new pricing, or approved alternates, to make quote current.
- Clarify questions the orders dept has regarding a quote before it goes to order.
- Perform other duties as assigned.
Requirements
- HS diploma or 5 or more years of customer service experience.
- 2 or more years of experience generating and processing quotes, project costing or similar role
- Must be a self-starter with ability to work independently in a task-oriented role that requires some coworker/supplier/customer communication.
- Must be detail-oriented with the ability to multi-task, manage priorities and time effectively.
- Experience with Stone Profits Systems, Excel, and Oracle preferred.
- Must have an intermediate level of computer skills in Outlook and Excel.
- Excellent oral and written English communication skills with a demonstrated ability to interact effectively with individuals at all levels in the organization required.
- Ability to interpret and follow oral and written instructions, policies, guidelines, and processing standards.
- Proficiency in mathematics and data analysis
- Adept in problem-solving skills, can determine root causes of issues while also creating proactive solutions for future issues.
