Administrator | Homebased (Built Estate)

Contract Type: Full Time

Location: Homebased with semi-frequent travel

Working Hours: 37.5 hours, Monday to Friday, 8:30 to 4:30

Salary: Up to £26,000 dependent on experience

Here at VIVO we are currently recruiting for an Administrator, who will ensure high-quality data production whilst providing advice and support to the team in the east area of the Central Built Estate (Lincolnshire, Norfolk, Sussex, Bedfordshire, and Cambridgeshire). This is a pivotal role in which you’ll be working with the Senior Administration and Project delivery teams and Suppliers providing administrative and data entry support of Commercial documents linked to Billable Works.

Within this role you will;

Provide administrative and data entry support for the effective, compliant, and timely submission of Commercial documents linked to Billable Works in accordance with client standards and policies.

Update MAXIMO records with correct and compliant paperwork as received from our Suppliers.

Support management in providing accurate data to support Billable Works assurance checks and to resolve any corrective actions that may arise.

Answer all incoming telephone calls promptly and professionally.

Support management in formal meetings including booking suitable facilities, confirming site access for non-pass holders, recording attendance, and producing accurate minutes and action logs.

Assist in the resolution of complaints in a timely and satisfactory manner.

Support the IT department with on-going system developments including testing of new updates and bug fixes.

What you’ll need to do this role

You will be committed to delivering excellent customer service whilst maintaining a high level of quality and accuracy.

NVQ level 2 qualification in Administration, a related discipline or equivalent experience such as demonstrable practical experience

Developed IT skills (e.g. Excel, Word etc.)

It would be desirable if you:

Have familiarity with MAXIMO packages.

Commercial experience (incl. NRM).

That you have experience of operating within either an MOD or Construction/Property Maintenance environment.

You must be able to pass BPSS Clearance to be considered for this role.
