Our voice assistants make it possible for businesses to deliver outstanding customer service that rivals their human agents. About the role

We are a Global SaaS business with a growing US presence, and we’re hiring the first member of our US financial control team. This is a high-trust role for someone who’s confident running the US accounting function end-to-end and who brings solutions, not just problems, to the table.

You’ll be the go-to person for everything accounting-related on the US side - from month-end close through to audit, tax, and payroll. You’ll partner closely with our existing US FP&A function and the established global finance team in the UK. The role will suit an individual who can take ownership of issues as they arise: you will be able to investigate issues and develop a clear point of view, providing solutions to the matter in question - we’re after a thoughtful operator who frames decisions well so we can move quickly together.

What you’ll own

  • Month-end close: Run the full close process for the US & Canadian entities, including journal entries, accruals, reconciliations, and intercompany transactions with the group. Deliver clean, timely numbers each month in line with the global close timetable.
  • Payroll: Manage end-to-end US & Canadian payroll processing via Rippling, including new hire setup, benefits deductions, multi-state withholding, and year-end W-2 reporting.
  • Sales tax: Own multi-state sales tax compliance via Anrok, including nexus monitoring, registrations, return review, and filings.
  • Corporate tax: Act as the primary point of contact for our external tax preparers on federal and state corporate income tax returns, estimated payments, and any state/local filings.
  • Audit: Lead the US side of the annual audit, preparing schedules, responding to auditor requests, and ensuring a smooth, well-organised process.
  • Revenue recognition: Apply ASC 606 to our SaaS revenue streams, document accounting positions, and ensure consistent treatment across the business.
  • Other compliance: Manage 1099 reporting, state annual filings, business licences, and ad-hoc regulatory matters.
  • Partnership with FP&A: Provide timely, accurate actuals and supporting analysis to our US FP&A team to support budgeting, forecasting, and management reporting.

Our finance stack

We’re a modern SaaS finance team and have invested in a best-in-class tooling stack:

  • ERP: Campfire (we’re in the process of moving onto this - experience with Campfire is a strong plus, but NetSuite or a comparable modern ERP background will translate well)
  • Payroll & HRIS: Rippling
  • Expenses & corporate cards: Brex
  • Bill payments / AP: Tipalti
  • Sales tax: Anrok

You should be comfortable working across a modern, integrated stack like this - and have a view on how to get the most out of it.

Process improvement & AI

You’ll be joining an established global finance function with existing processes, systems, and ways of working but we expect every member of the team to actively look for ways to make our accounting operations leaner, faster, and more reliable, with AI as a core part of the toolkit rather than an afterthought.

In practice, that means:

  • Spotting manual, repetitive, or error-prone work in the US workflows you own and proposing how to re-engineer it using AI tools, automation, or better system integrations
  • Using AI to accelerate work like reconciliations, variance commentary, flux analysis, audit prep, technical accounting research (e.g. ASC 606 memos), and policy documentation
  • Working with the wider global finance team on improvements rather than building in isolation - changes that affect group processes need to be aligned
  • Championing tooling decisions where the case is clear - we’d rather invest in software and AI than headcount where it makes sense

We’re looking for someone genuinely curious about AI and willing to experiment, while respecting that we already have a function that works.

What we’re looking for

  • 8+ years of progressive accounting experience, with a meaningful portion in industry (not solely public accounting)
  • SaaS industry experience is essential - you understand subscription revenue, deferred revenue, ARR/MRR mechanics, and the typical accounting issues that come with a SaaS business model
  • CPA strongly preferred
  • Mix of public accounting (Big 4 or strong mid-tier) and SaaS industry experience is ideal
  • Strong working knowledge of ASC 606 revenue recognition applied to SaaS contracts
  • Hands-on experience with US multi-state sales tax compliance (Anrok experience a plus)
  • Experience leading or substantially supporting an external audit
  • Comfortable as the senior accounting person in a small/lean US environment - you know how to roll up your sleeves
  • Hands-on experience with a modern SaaS finance stack - ideally Campfire, NetSuite, or a comparable ERP, plus Rippling, Brex, and Tipalti (or close equivalents)
  • Demonstrated interest in or hands-on use of AI tools to improve finance workflows
  • Strong judgement on what to escalate, when, and with what level of supporting analysis - you bring options and recommendations, not open-ended questions
  • Excellent written communication - much of your collaboration with the UK team will be async

Nice to have

  • Experience supporting a US subsidiary of a foreign parent (or vice versa)
  • Familiarity with UK GAAP or IFRS reporting requirements for group consolidation purposes
  • Track record of implementing AI or automation in a finance/accounting setting
  • Experience with an ERP migration or finance systems implementation

We provide a competitive salary range for this role - which is $130,000 – $155,000 - depending on level and experience. Please note this range is intended as a guide, not a guarantee. Final compensation will be based on individual qualifications, relevant experience, and the scope of the role.

In addition to salary, this position includes equity in the business, giving you the opportunity to share in the company’s long-term success.

PolyAI is on a mission to empower companies to be the best version of themselves for their customers. Many businesses struggle with high call volumes in their contact centers, leading to long wait times and frustrated customers. This can negatively impact customer satisfaction and strain resources. PolyAI addresses this challenge by providing enterprise-ready voice assistants that can handle a significant portion of customer interactions, freeing up human agents to focus on more complex issues. Our customers face the need to deliver exceptional service consistently, and our AI-powered voice assistants help them achieve this by being available 24/7 and resolving inquiries efficiently. We understand that customers will always call, which is why we are voice-first, unlike many competitors who have focused on chat solutions. Everything we do, from product development to research, is centered on helping call centers deliver a best-in-class voice experience. Our technology is designed to understand natural language, regardless of accent or background noise, allowing for human-like conversations that feel natural and engaging. This focus on voice ensures that businesses can meet their customers where they are, providing support through their preferred channel.

Our clients, which include major corporations like FedEx, Marriott International, and Caesars Entertainment, benefit from our advanced conversational AI that can authenticate calls, complete transactions, answer questions, take reservations, and route calls effectively. This capability allows them to resolve up to 50% of customer service calls without human intervention, leading to reduced operational costs and improved efficiency. For instance, one of our clients in the hospitality sector saw their voice assistant handle 12,000 calls in a month, booking 3,000 reservations and generating significant revenue. By automating routine tasks, we help businesses reduce staffing pressures and improve employee satisfaction, as agents can dedicate their time to more meaningful and complex customer interactions. PolyAI's platform is built on a proprietary suite of technologies, including advanced natural language processing (NLP) and automatic speech recognition (ASR), pre-trained on billions of customer interactions. This means companies don't have to create custom AI training datasets, and our voice assistants can be deployed relatively quickly, typically within six weeks. We are committed to revolutionizing human-machine communication by teaching machines to understand natural language and hold human-level conversations, ultimately helping businesses enhance their customer experiences and build stronger customer relationships.
