Our client is looking for a highly organized, proactive, and discreet Executive Assistant to their CEO to ensure smooth operations and support as we scale. This role is critical: you will manage executive logistics, communications, and coordination across internal and external stakeholders. In addition, you will help maintain structured workflows, track key initiatives and operational metrics, and support high-level activities such as investor communications and coordination with advisory boards. You will play a central role in enabling the CEO and team to focus on scientific and business goals.
As our Executive Assistant, you’ll support both day-to-day administrative needs and strategic initiatives — bridging operational, communication, and organizational gaps to allow the leadership and scientific team to operate efficiently and cohesively.
Key Responsibilities
- Manage CEO’s calendar, travel, and personal schedule with discretion; coordinate meetings, prepare agendas, and ensure timely follow-up on action items.
- Handle correspondence and communications on behalf of the CEO; manage stakeholder relationships and ensure clear, professional representation in all interactions.
- Create and maintain systems for planning, tracking, and reporting initiatives; coordinate timelines and communications with external consultants and vendors.
- Maintain dashboards tracking key metrics and milestones; provide operational support to improve team coordination and efficiency across company initiatives.
- Support investor updates including monthly summaries and quarterly briefings; manage company LinkedIn profile and assist with CEO’s personal engagement.
- Support formation and coordination of the Scientific Advisory Board; manage scheduling, preparation of materials, and documentation to ensure effective collaboration.
- 5+ years of experience as an executive assistant or in project management roles.
- Background in clinical healthcare, life sciences or related industry strongly preferred.
- Exceptional organizational skills with the ability to manage multiple priorities independently.
- High English Level (C1+).
- Proficient with modern collaboration tools (e.g., Google Workspace, LinkedIn, project management tools).
- Experience/exposure to project management tasks is highly preferred.
