Role Overview

The Executive Assistant will provide high-level administrative and operational support to senior leaders, ensuring seamless coordination of schedules, communications, and ongoing initiatives. This role demands excellent organization, confidentiality, and the ability to manage multiple priorities in a remote, fast-moving environment.

Your Impact

You will unlock executive productivity by handling day-to-day operational tasks, managing communication channels, and coordinating cross-functional initiatives—allowing leadership to focus on strategic growth, team alignment, and high-impact decision-making.

Core Responsibilities

Executive Operations Support – 50%

  • Manage complex calendars, schedule meetings, and prepare agendas
  • Draft, review, and manage correspondence on behalf of executives
  • Maintain structured systems for reminders, follow-ups, and meeting preparation

Project Coordination – 30%

  • Support the execution of executive-led projects and operational initiatives
  • Track deliverables, deadlines, and stakeholder alignment
  • Ensure timely follow-ups and smooth workflow between departments

Communication & Confidentiality – 20%

  • Act as liaison between leadership and internal/external stakeholders
  • Maintain discretion with all sensitive and confidential information
  • Ensure communications are clear, polished, and aligned with executive standards

Requirements

Must-Haves

  • 1+ years of experience as an Executive Assistant or in a similar administrative role
  • Excellent organizational, time management, and communication skills
  • Proficiency in Google Workspace or Microsoft Office
  • Ability to manage multiple priorities in a remote, fast-paced environment
  • High professionalism and strong sense of confidentiality

Nice-to-Haves

  • Experience supporting international clients or distributed teams
  • Background in startups or high-growth environments
  • Familiarity with productivity or workflow tools (Notion, Asana, Slack)

Tools Proficiency

Required:

  • Google Workspace (Docs, Sheets, Drive, Calendar) or Microsoft Office
  • Slack, Gmail, Zoom
  • Basic project tracking tools (Sheets, Calendar, Notion, or similar)

Preferred:

  • Notion or Asana
  • CRM familiarity (HubSpot, Airtable)
  • Scheduling tools (Calendly, Google Calendar advanced functions)
