Role definition
The incumbent will provide general Logistic support to the vaccination teams of the river strategy AT Kabondo Dianda antenna in the province of Haut-Lomami. S/he schedules and plans meetings, coordinates travel in compliance with PATH protocols and guidelines, compiles and organizes relevant background materials for meetings. Monitors the fuel consumption of the outboards boats meetings and tasks and take appropriate follow-up actions. Files and maintains records related to project(s). Coordinates logistics for workshops and meetings. Conducts all activities within budget guidelines and approval processes.

The Logistic Assistant will report directly to the Project Administrator based in Kinshasa DRC with the dotted line management from the Provincial Activity Manager.
Responsibilities:
- Develop and/or maintain administrative documents in support of the logistics of the vaccination teams in the 8 health zones of Kabondo Dianda
- Maintain a database of all invoices and document related to fuel consumption and the rental of outboard boats and canoe.
- Serve as procurement staff for small procurement of the project. The limit of such procurement will be defined by the SADM
- Draft, edit, format, fact-check, and proofread a variety of documents and enter data using Word, Excel, and other software.
- Coordinates travel arrangements for team members and consultants; tracks team members' travel schedules, including support needed modifying arrangements during travel and follow up activities such as reimbursement requests for the province of Haut-Lomami.
- Assists with completion of administrative forms as required, including travel forms, meal conference forms, etc.
- Coordinate arrangements for guests, meetings, conferences, workshops, and other events in Haut-Lomami.
- Assists in activities during and post-meeting, such as conference and web call set up, drafting minutes, and supporting Project Manager to track follow-up activities.
- Utilize Microsoft Outlook calendars to coordinate complex scheduling tasks.
- Schedule team meetings and draft agendas and minutes.
- Maintain project records, electronic files, and other resources for the project.
- Assist with completion of administrative forms, including supply request forms, and reimbursement forms.
- Provide support to the PADM to ensure accuracy of project inventory, create requisitions in the system for project purchases, equipment disposal documentation, and PATH’s Fixed Assets, Project Equipment, and Inventory policy.
- Serve as backup for program assistant when necessary.
Required skills and Experience
- University Diploma plus a minimum of 2 years of experience.
- Experience in Logistics, Procurement, General administrative assistant role or similar.
- Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint.
- Proactive, with excellent interpersonal and communication skills.
- Ability to work with government officials.
- Strong event planning and management skills.
- Ability to work with multiple teams across diverse backgrounds.
- Strong organizational skills.
- Adaptable to changing priorities.
- Effective time management.
- Experience working under deadlines.
- Proven ability to work in a team environment with minimal supervision.
- Fluency in French, including excellent written and oral communication skills.
Reporting and duration of the contract
The position will report to the PADM, River strategy, DRC.
Start date: Early July 2024 or before for 12 months
