What’s unique about this role?

The Proposal Manager and Technical Writer manages the proposal process from kickoff to completion, supports special projects, and will be a key contributor to Lighthouse’s sales and marketing initiatives. The role will collaborate heavily with other departments including Sales, Service Delivery, Finance, Legal, Product, and others as necessary, and will focus on continuously improving proposal responses and aligning proposal messaging with corporate goals to retain and acquire customers.

What will this person do?

Primary Responsibilities:

  • Manages the end-to-end proposal process, concurrently handling 5-10 active proposals as assigned with diverse deadlines and requirements.
  • Monitor and answer traffic in the proposal mailbox while keeping the mailbox organized.
  • Gather, curate, and maintain proposal-related materials such as project details and standard proposal content. Ensure this information is current, well-crafted, logically structured, neatly formatted, and readily available to all team members.
  • Uphold the company's decision-making process for bid participation, focusing efforts on opportunities with the highest success potential.
  • Lead kick-off meetings, define deliverables, set timelines, and assign roles and responsibilities for proposal development.
  • Update Salesforce RFx and Opportunity fields during/post-kick-off meetings to ensure accurate reporting.
  • Initiate and conduct proposal follow-up meetings, tracking progress and maintaining clear communication with team members about expectations and deadlines.
  • Craft compelling initial drafts for proposals that incorporate responses that address all aspects of the client’s requests.
  • Develop and refine core messaging, marketing angles, and unique selling propositions for each proposal.
  • Coordinate with subject matter experts across departments for proposal content as needed while minimizing excessive disruption to the business.
  • Facilitate the proposal assembly process, collaborating with team members at all organizational levels.
  • Maintain the repository of standard messaging, documents, templates, project summaries, and team resumes.
  • Manage the distribution and organization of client documentation among the proposal team.
  • Communicate with clients, partners, and colleagues with tact, discernment, and insight.
  • Enhance the quality of proposal submissions and the efficiency of proposal development tools and methodologies.
  • Guarantee that all proposals and qualifications are of high quality, meet compliance standards, and effectively communicate the company's expertise and value proposition.
  • Edit and proofread proposals to align with corporate standards for precision, excellence in writing, marketing orientation, and branding.
  • Apply robust problem-solving skills to navigate challenges and guarantee on-time proposal delivery.
  • Administer the proposal database, including uploading new responses, archiving outdated content, and refreshing existing materials.
  • Develop and conduct training for team members on proposal tools and processes.
  • Perform post-proposal Salesforce clean-up to ensure accurate reporting.
  • Undertake additional responsibilities as needed.

  • Educational Background:

A Bachelor’s degree in English, Communications, Business, Marketing, or a related field is typically required.

JD or LLM is a plus

  • Experience:

5+ years of eDiscovery experience

5+ years of project management experience

5+ years of legal and/or technical writing experience

Procurement, proposal management and/or proposal drafting experience a plus

Relativity, Relativity One, Brainspace, Nuix, Veritone, or other eDiscovery platform experience a plus

  • Communication Skills: Superior written communication skills are essential, with the ability to adapt writing style to different audiences.
  • Project Management: Strong project management skills are necessary to manage multiple simultaneous projects and meet deadlines.
  • Problem-Solving: Strong problem-solving skills with a solution-oriented mindset are crucial.
  • Technical Proficiency: Proficiency with Microsoft Office Products (Word, Excel, PowerPoint, Visio) and PDF software is required, and proposal automation software (e.g., Loopio, RFPio, Responsive, or similar) is a plus.
  • Independent Execution: Proven ability to execute work independently, while collaborating on a team and with other departments.
  • Innovation and Improvement: A passion for technology, innovation, and process improvement is highly valued.
  • Adaptability: The ability to maintain focus on quality work product with changing teams, workflows, and solutions and service lines is important.
  • Capacity to manage multiple projects under pressure and meet tight deadlines.
  • Exceptional writing skills with the ability to tailor content to various audiences.
  • Demonstrated project management expertise.
  • Demonstrated experience delivering in writing technical solutions to both legal and non-technical audiences.
  • A consistent record of achieving remarkable outcomes.
  • Meticulous attention to detail and a commitment to producing refined end products.
  • Solution-focused problem-solving abilities.
  • Proven track record of independent execution, as well as effective teamwork and cross-departmental collaboration.
  • Enthusiasm for technology, innovation, and continuous improvement.
  • Versatility in maintaining high-quality output amidst team changes, process adjustments, or expanding service offerings.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Visio).
  • Experience in operating and updating proposal automation tools (e.g., Loopio, RFPio, Responsive) is a plus.
  • Continual focus on advancing eDiscovery and solution knowledge and expertise.
  • Confidence in advocating for innovative ideas and expressing concerns to senior management beyond the immediate supervisor.

Work Environment and Physical Demands

  • Duties are performed in a typical office environment while at a desk or computer table.
  • Duties require the ability to use a computer, communicate over the telephone, and read printed material, in a quiet and professional setting.
  • Duties may require being on call periodically and working outside normal working hours (evenings and weekends).

As required by applicable pay transparency laws, Lighthouse complies with compensation disclosure requirements for roles that may be hired in locations under these requirements. Factors that may be used to determine your actual salary may include a wide array of factors, including: your specific skills and experience, geographic location, or other relevant factors.

The salary range for this position may be tailored to be lower or higher in different talent markets.

The expected pay for this role will range from $99,050 to $141,500 per year.

This role will be eligible to participate in an annual bonus or incentive program.
