As an Operations Lead, your main responsibility will be to develop operational processes and systems to ensure high efficiency and client satisfaction. You'll play a crucial role in supporting our internal team, monitoring timelines, creating reports, and ensuring tasks are completed on schedule. You will also provide operations, technology, and workflow services to our clients on a project basis. You will be our operations, workflow, and technology guru.

Key responsibilities:

🧾 Assisting project leaders in creating timelines, schedules, workflows, and automations.

📦 Documenting and maintaining weekly meeting minutes and managing the team EOS Board.

📑 Coordinating project logistics and communicating with team members, clients, and stakeholders as required.

💼 Monitoring internal and client project progress and ensuring key milestones are achieved.

📊 Acting as the company's “data steward” by organising and managing company and client project files and documentation electronically.

🗓️ Tracking and distributing initial client surveys, assessments, and other requested correspondence.

🧾 Compiling and tracking client reports.

📦 Conducting research and analysis as necessary.

📑 Acting as the administrator for tracking tools and systems such as Google Drive Management and Monday.com Work Management and CRM.

💼 Managing and troubleshooting the company's technology stack.

📊 Providing recommendations and implementing new and improved processes.

🗓️ Assisting and overseeing operational and technology-based client projects and joining client meetings when needed, as well as adding projects to project management tools on CEO’s behalf.

Working Hours ⏰: Full-time preferred, or 30 hours/week. The ideal candidate should be available for at least 5 hours overlapping with US-EST working hours and be flexible to accommodate occasional changes for client meetings.

Your core operating hours will be 8 AM to 5 PM EST, with 1-hour unpaid lunch.

Requirements

To excel in this role, you need to have:

✅ A minimum of 3 years experience in project support or business operations.

✅ An Associate's or Bachelor's degree. Project Management certifications are preferred.

✅ Strong proficiency in technology and workflow management.

✅ Competence in utilising project management software.
