Operations Manager - IOE: Cardano

Our projects include the Cardano blockchain, as well as other products in the areas of decentralized finance (DeFi), governance, and identity management, aiming to advance the capabilities and adoption of blockchain and Web3 technology globally.

What the role involves:

As an experienced Operations Manager, you will be responsible for budget planning, resource tracking, invoicing, and contract management, ensuring operational efficiency and alignment with organizational objectives.

Budget and Resource allocation

• Play a key role in the implementation of a new resource allocation tool for IOE, ensuring all relevant resources are onboarded and processes align with team needs and operational practices.
• Follow up on time tracking compliance, ensuring timely and accurate entry across teams to support resourcing and cost visibility.
• Collaborate with senior management and finance to support the development of annual and project-specific budgets.
• Track budget performance and contribute insights to help identify opportunities for cost optimization and resource allocation.

• Support Delivery Managers to ensure optimal resource allocation and alignment with project requirements.
• Anticipate resource needs and proactively address potential shortages or conflicts in partnership with HR, delivery and engineering teams.
• Manage project scope changes and assess their impact on budget and timeline.
• Create forecast reports on cost, revenue, profitability and resource utilization.

Invoicing

• Assist Finance with invoicing queries, ensuring IOE resources provide accurate and timely invoicing in accordance with the correct project codes.
• Monitor accounts receivable and collaborate with the finance team to ensure timely collection of payments.
• Reconcile invoices and client payments, addressing any discrepancies promptly.
• Assist finance to provide IOE commentary for profitability and client billing history reporting.

Contracts Management

• Create and manage Jira tickets to help assist with the contracts management process, including contract preparation, review, negotiation, and execution, collaborating with Legal and Finance.
• Work with IOE teams to ensure compliance with contractual terms and conditions, including scope of work, deliverables, and timelines.
• Work with procurement to gain visibility of the a centralized repository of contracts and related documentation for easy access and reference, including taking a proactive stance on vendor renewals

Project Management, Strategy and Process Improvement

• Capture, document, and standardize operational processes, and educate teams on these processes to ensure consistent understanding and application.
• Identify opportunities for process improvement and automation to streamline operations and reduce administrative overhead.
• Work closely with the IOG events management team to coordinate the planning and delivery of large-scale events, ensuring that logistics such as marketing, room bookings, expense tracking and meal arrangements are efficiently managed and executed. Occasional travel may be required.
• End to end ownership of IOE operational projects including planning, reporting and executing the projects proactively.

Requirements

Who you are:

• Minimum 4 years of experience in a professional services environment (consulting, engineering services, etc.) in an operational role.
• Bachelor's degree in Business Administration, Finance, or a related field; MBA or relevant advanced degree preferred.
• Proven experience in operations management or related role, preferably in a professional services environment.
• Experience with resource planning systems and financial management software.
• Excel at project planning, be highly structured with excellent organizational skills and possess effective communication and people management skills.
• Strong attention to detail and accuracy, rigorous and organized.
• Strong financial acumen and experience with budgeting and forecasting.
• Ability to influence and collaborate with cross-functional teams.
• Proficiency in contract management principles and practices.
• Familiarity with Agile methodologies and Program Increment (PI) planning processes, ensuring projects align with business goals and timelines.
