Overview

The Event Specialist will serve as a key liaison between event planners and event account managers, ensuring smooth communication and seamless coordination for all events throughout the year. This role involves actively supporting both sides of the team by supporting comprehensive documentation that outlines all event requirements and timelines. They will also play a crucial role in assisting with event management platforms like Cvent, ensuring all event details are properly entered and tracked. In addition, the position will include assisting the invoicing process by working closely with accounting to facilitate accurate billing and payment procedures. This individual will be expected to maintain organized records and proactively identify and address any challenges that may arise, contributing to the overall success of each event.

Responsibilities

  • Assist invoice process and reconciling with accounting team for all events
  • Follow up with suppliers past due accounts receivable
  • Project managing our jobs for events with the creative team in Robohead
  • Support and proof event planner and event account manager overall documents for individual events, (i.e. agendas and event timelines)
  • Assist with managing event registration sites in Cvent
  • Generate reports in Cvent
  • Support various event inboxes from advisors and suppliers
  • Other duties as assigned

Qualifications

  • Bachelor’s degree in Event Production, Hospitality, Communications, Marketing, Advertising, Business Administration or equivalent (ideal)
  • Self-motivated with the ability to work independently
  • Proven ability to manage multiple priorities
  • Demonstrated strong communication skills with a variety of audiences
  • Computer skills, including knowledge of word processing, database, and spreadsheet software
  • Must be extremely organized and able to work on many programs simultaneously
  • Experience working in Cvent a plus
  • Experience in the travel and/or tourism industry a plus
  • Ability to travel to events 2-4 times per year (up to a week at a time)

The salary range on this job posting/advertising has been developed to give applicants a wide range to comply with pay transparency laws in all states and geographical areas. Many factors, such as years of experience, geographical location, budget etc. are considered when determining the starting rate of pay. The salary range posted represents the pay range for U.S. candidates. If the job posting indicates that the role is available for international candidate consideration, the salary range will be based on the local market for the country where the candidate would be working.

This role may be eligible for an incentive, commission, bonus, or a discretionary bonus program based on the company’s financial goal achievement and individual performance.
